ADMISSIONS EVENTS AND CAMPUS TOURS COORDINATOR, FULL-TIME (1.0 FTE)

We are currently inviting applications for a full-time Admissions Events and Campus Tours Coordinator. This position will commence as soon as possible.

POSITION OVERVIEW

The Admissions Events and Campus Tours Coordinator plays a central role in shaping Southridge's enrollment experience, creating meaningful connections with prospective families. As a first point of contact, this role serves as a calm, confident guide for families making one of the most important decisions in their child's life.

This position leads the planning and execution of key enrollment events - including Open House, New Parent Night, and K–12 Assessment Days and coordinates engaging campus tours that bring our community to life. Every interaction - whether by email, phone, or in person - is an opportunity to reflect the spirit of the school.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  • Supports the Director of Enrollment and Assistant Director of Enrollment in achieving full enrollment
  • Serves as the primary lead for the school's annual fall Open House and spring New Parent Night events; responsible for the planning, logistics, volunteer coordination and execution of these signature events, while presenting all final project plans, budgets, and key decisions to Assistant Director of Enrollment for final approval
  • Supports with the planning and delivery of the spring Grade 8 Student Welcome Event
  • Coordinates and executes all assessment days for students applying to Grades K-12
  • Coordinates and hosts campus tours and ensures each visit reflects the school's values and standards of excellence
  • Coordinates parent volunteers for events and special projects
  • Provides exceptional customer service via email, phone and in-person with prospective families
  • Supports New Student Orientation, assisting with house assignments, logistics, materials, and communication to ensure a smooth transition for incoming students and families
  • Assists with processing and managing Grades K-12 digital applicant files from inquiry through offer of enrollment during peak periods
  • Assists with entering and tracking information in the admissions database
  • Ensures event storage spaces remain neat and organized
  • Inventories and maintains promotional materials and event supplies
  • Proactively offers support to team members during high-volume periods and contributes to a collaborative, positive team culture
  • Reconciles department expenses on a monthly basis
  • Other duties as assigned

EDUCATION/EXPERIENCE/KNOWLEDGE

  • Certificate or diploma in Office or Clerical Administration, Event Planning or related discipline and/or 3 - 5 years of administrative experience
  • Minimum 3 years of experience planning and executing large-scale, high-visibility events, with demonstrated leadership and ownership of outcomes
  • Exceptional interpersonal skills with the ability to build rapport with colleagues and prospective students and families
  • Strong organizational and project management skills with exceptional attention to detail
  • Confident leadership presence with the ability to guide and direct events effectively
  • High level of judgment and ability to manage confidential information
  • Proficiency in Google Workspace, Microsoft Office Suite, and database systems
  • Excellent written and verbal communication skills
  • Comfortable working in a fast-paced environment School
  • Demonstrated ability to work both collaboratively as part of a team and independently with minimal supervision
  • Proven ability to manage event budgets, track expenses, and deliver events within financial parameters
  • Experience with Blackbaud Admissions database considered an asset
  • Flexible and willing to work additional hours during peak periods

The salary range for this position is from $65,000. to 75,000.
