About the role

This position has a term length of 1 year plus 1 day, with the possibility of extension.

Location - This role is hybrid with a mix of remote and in-person work at North Campus, Edmonton.

The Canadian VIGOUR Centre's energetic and hardworking team is dedicated to advancing cardiovascular health. We are seeking an individual with Accounting experience for our newly created Program Financial Specialist position, which offers the opportunity to work in a dynamic and impactful setting supporting the Associate Director of Operations (AD) of the Canadian VIGOUR Centre . The Program Financial Specialist is responsible for the day-to-day accounting for the Canadian VIGOUR Centre. This role supports the operational link between the Northern Alberta Clinical Trials Research Centre (NACTRC), Alberta Health Services (AHS), as well as the Department of Medicine and the University in matters of general expenses, contracts administration, and budgets. The ideal candidate possesses a strong understanding of GAAP/IFRS, exceptional attention to detail, and proven analytical skills. Discretion, reliability, and trustworthiness are essential requirements given the confidential and sensitive nature of the financial material entrusted to this office. The ability to work as part of a team to produce outstanding results is essential.

Financial (50%):

  • Assists supervisor with budgeting, annual planning, resource allocation and forecasting on all operational revenues and the preparation of financial reports using QuickBooks accounting software, detailed spreadsheets and SharePoint intranet.
  • Identifies areas for potential improvement in efficiency related to expenditures and budgeting; recommends steps and procedures to implement the suggested changes.
  • Working with administrative staff in the planning, budgeting, organization and execution of internal and external meetings and events.
  • Prepare and analyze monthly, quarterly, and annual financial reports.
  • Maintain accurate and up-to-date general ledgers. Prepare and post journal entries, ensuring all financial transactions are properly recorded.
  • Assist with the timely and accurate month-end and year-end closing process, including all necessary accruals and adjustments.
  • Perform regular bank and balance sheet account reconciliations to ensure the accuracy and integrity of financial data.
  • Assist in the preparation of the annual budget and financial forecasts, and report on variances from the budget.
  • Develop and document business processes and accounting policies to maintain and strengthen internal controls.
  • Provide detailed financial analysis and reports as requested by management to support decision-making.
  • Implements processes to ensure that CVC is well-informed and updated on research accounting policies, procedures, and regulations. Informs and supports faculty and staff on relevant financial policies and procedures.
  • Runs financial queries and reports.
  • Prepares deposits related to research grants.

Contracts (25%)

  • Developing and negotiating agreements (needs assessment, proposals, budgets, contracts, service level agreements, etc.) across Canada and internationally as required, which includes legal review, drafting of contracts and risk assessment; establishing and maintaining effective working relationships with executives of medium to large pharmaceutical companies and academic research organizations to build successful partnerships.
  • Developing and assisting with Memorandum of Understanding documents to support operations.
  • Manage confidentiality disclosure agreements and data transfer agreements to support operations.

Budgeting (25%)

  • Assists with CVC budget planning and performs budget forecasting and analysis.

  • Working closely with CVC teams to create proposal budgets for investigator-initiated and industry-initiated budgets for proposals.

  • Analysis of budgets provided by sponsors for clinical trials and peer-reviewed grants to assess the impact on organizational finances.

  • Develop templates and standard costing to support efficient budget preparation.

  • Education: Undergraduate degree or diploma in Accounting.

  • Experience: A minimum of 2 years of work experience.

  • Technical Knowledge: Thorough knowledge of accounting procedures and principles, including Generally Accepted Accounting Principles (GAAP).

  • Training in QuickBooks accounting software and project management is an asset.

  • Computer proficiency in a Windows environment using all MS Office applications, Gmail, and SharePoint. PeopleSoft experience is an asset.

  • Demonstrated attention to detail.

  • Excellent communication (oral and written) and time management skills.

  • Excellent organizational and problem-solving skills to manage multiple projects and details.
