Gestionnaire des installations – JLL

Ce que ce poste implique :

En tant que Gestionnaire de services aux installations chez JLL, vous jouerez un rôle essentiel dans la gestion financière et administrative de nos comptes clients. Vous serez au cœur de l'excellence opérationnelle, assurant la coordination entre les équipes internes, les fournisseurs et les clients pour garantir une prestation de services de haute qualité. Ce poste combine la gestion financière, le support client et la supervision des opérations de la salle de courrier, tout en contribuant directement aux objectifs de revenus et de satisfaction client de JLL. Vous aurez également l'opportunité de travailler à temps partiel sur un second compte client, où vous supporterez la documentation de maintenance et la gestion du système CMMS.

À quoi ressemblera votre quotidien :

  • Créer et gérer les ordres d'achat, assurer le suivi de la facturation et garantir la conformité aux règles financières
  • Assister avec les demandes budgétaires, les analyses d'écarts et les rapports financiers pour contribuer aux économies de coûts
  • Élaborer et gérer de façon proactive les relations avec les clients pour assurer l'exécution du service attendu et excéder les indicateurs de rendement clés
  • Coordonner les événements spéciaux, les réunions et les réservations de salles de conférence pour appuyer les clients et JLL
  • Gérer les activités quotidiennes et stratégiques de la salle de courrier, incluant la supervision de l'équipe et la gestion des contrats de fournisseurs tiers
  • Coordonner les activités d'entretien avec les entreprises de gestion immobilière et les fournisseurs de services tiers
  • Support à temps partiel pour un second compte client, centré sur la documentation de maintenance et la gestion du système CMMS

Qualifications requises :

  • Expérience démontrée en gestion financière et administrative, incluant la création d'ordres d'achat et le suivi budgétaire
  • Excellentes compétences en service à la clientèle et capacité à gérer de façon proactive les relations avec les clients
  • Compétences en gestion d'équipe et supervision d'employés
  • Maîtrise des systèmes financiers et expérience avec les systèmes CMMS (un atout)
  • Solides compétences organisationnelles et capacité à gérer plusieurs priorités simultanément
  • Excellentes compétences en communication écrite et verbale en français

Qualifications préférées :

  • Connaissance des processus d'entretien et de gestion immobilière
  • Expérience dans la coordination d'événements et de services de support aux installations
  • Capacité à identifier et résoudre de façon proactive les problèmes financiers ou opérationnels
  • Expérience avec la gestion de contrats de fournisseurs
  • Bilinguisme (français et anglais) pour supporter les communications avec divers intervenants

-Interactions orales et/ou écrites avec des locataires ou partenaires externes basés à l’extérieur du Québec (par exemple, fournisseurs de services, cabinets d’avocats, pairs, banquiers, firmes de courtage, firmes d’analyse de crédit, agences de crédits, clientèle non-francophone, etc.)

Facility Service Manager – JLL

What this job involves:

As a Facility Service Manager at JLL, you will play an essential role in the financial and administrative management of our client accounts. You will be at the heart of operational excellence, ensuring coordination between internal teams, suppliers, and clients to guarantee high-quality service delivery. This position combines financial management, client support, and mail room operations supervision, while directly contributing to JLL's revenue and client satisfaction objectives. You will also have the opportunity to work part-time on a second client account, where you will support maintenance documentation and CMMS system management.

What your day-to-day will look like:

  • Create and manage purchase orders, track invoicing, and ensure compliance with financial regulations
  • Assist with budget requests, variance analyses, and financial reports to contribute to cost savings
  • Proactively develop and manage client relationships to ensure expected service delivery and exceed key performance indicators
  • Coordinate special events, meetings, and conference room bookings to support clients and JLL
  • Manage daily and strategic mail room activities, including team supervision and third-party vendor contract management
  • Coordinate maintenance activities with property management companies and third-party service providers
  • Provide part-time support for a second client account, focused on maintenance documentation and CMMS system management

Required Qualifications:

  • Demonstrated experience in financial and administrative management, including purchase order creation and budget tracking
  • Excellent customer service skills and ability to proactively manage client relationships
  • Team management skills and employee supervision experience
  • Proficiency in financial systems and experience with CMMS systems (an asset)
  • Strong organizational skills and ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills in French

Preferred Qualifications:

  • Knowledge of maintenance processes and property management
  • Experience coordinating events and facilities support services
  • Ability to proactively identify and resolve financial or operational issues
  • Experience managing vendor contracts
  • Bilingualism (French and English) to support communications with various stakeholders

-Oral and/or written interactions with tenants or external partners based outside Quebec (for example, service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, credit agencies, non-French-speaking clients, etc.)
