Job Description
The Go Live & Elbow Support position provides operational support during the planning, preparation and activation of a Health Information System (HIS) implementation. This role supports clinical and technical readiness activities, assists with simulation and testing events, assists with training, maintains implementation documentation and helps coordinate logistics for end-user readiness. The individual ensures materials, tracking tools and downtime processes are organized and available to front line staff, contributing to a safe and successful system activation. This role will troubleshoot issues, identify workflow problems, and work with Service Desk and Analysts to resolve them.
Go-Live Readiness & Simulation Support
- Provide at the elbow support to end-users during go-live periods and after system stabilization.
- Address provider requests for assistance with Epic workflows across various clinical settings.
- Assist with execution of technical dress rehearsals (TDRs) and workflow simulations.
- Assist with “Day-in-the-Life” (DITL) demonstrations and run-through activities across clinical and operational areas.
- Coordinate room setup, materials preparation, and participant check-in for rehearsals and demonstrations.
- Distribute and collect evaluation forms, testing scripts, and workflow checklists.
- Provide administrative support to project team during dress rehearsal activities.
- Track attendance and participation of clinical staff during simulations and readiness events.
- Assist in documenting frequently asked questions (FAQs) and common issues during rehearsal events.
- Provide support as required to operational leaders for go live readiness documentation completion.
- Assist in preparing and organizing training and super users go-live materials (binders, tip sheets, quick reference guides).
Technical Dress Rehearsal Support, Documentation & Tracking
- Maintain testing documentation logs and trackers (e.g., issue logs, defect tracking, and sign-off sheets).
- Assist with organizing and updating integrated testing and user acceptance testing (UAT) documentation.
- Ensure testing evidence is properly labeled, stored, and uploaded to designated repositories (e.g., SharePoint).
- Monitor completion of assigned testing scenarios and escalate missing documentation to leads.
- Guide clinicians on correct Electronic Medical Record (EMR) workflows, including but not limited to resolving deficiencies, chart review, orders and order sets, writing notes, document recurrent issues to facilitate the development of training materials, collaborate with Command Centre/Service Desk to log issues, mitigate problems etc.
Biomedical Device Integration Testing Support
- Assist in biomedical/clinical device integration testing (e.g., vital signs monitors, pumps, printers, barcode scanners, specimen collection devices).
- Assist Clinical Engineering (Biomed) and interface analysts during device testing sessions.
- Collate testing materials such as patient scenarios, test labels, and workflow scripts.
- Document test outcomes, screenshots, and workflow results as directed by analysts.
- Track device testing completion status and maintain device readiness logs.
- Escalate issues identified during testing to the appropriate technical or clinical leads.
- Assist in labeling, asset verification, and location tracking of integrated devices.
- Assist with scheduling and logistics for unit-based device validation sessions.
Downtime & Patient Safety Readiness
- Assist in preparing, organizing and distributing downtime boxes across clinical areas.
- Update and replace downtime forms, labels, downtime workflows, and downtime documentation as directed.
- Verify contents of downtime kits against standard checklists.
- Track deployment and location of downtime resources across sites and departments.
- Support staff orientation to downtime procedures by directing them to appropriate materials and reference guides.
Policy & Procedure Update Tracking (Administrative Support)

Provide administrative support to track policy and procedure updates required for HIS implementation.

Collate departmental policy update trackers and maintain centralized monitoring spreadsheets.

Monitor completion and sign-off status of revised policies and workflows.

Escalate to project leads if follow up is required with operational leaders and subject matter experts regarding outstanding policy reviews.

Perform other duties as assigned.
Qualifications

Currently enrolled in post secondary education

Prior work experience preferred

Previous Epic experience an asset

Strong communication skills both verbal and written.

Superior planning and time management skills.

Basic knowledge of Microsoft applications (Excel, Outlook, PowerPoint)

Takes initiative and is problem solving focused

Can work effectively both independently and in team environments
Additional Information
Hours: Currently days, evenings and nights in an on-site first role (subject to change in accordance with operational requirements)
Salary Range: $48,379.50 - $60,469.50

Job Description
