MacEwan University is seeking an experienced and resourceful Administrative Assistant to the Dean for a full-time continuing opportunity with the Office of the Dean in the Faculty of Arts and Science.

Reporting to the Dean, the Administrative Assistant is responsible for providing comprehensive administrative support to the Dean and Associate Deans, ensuring that communications, interactions, and administrative support are delivered with the highest standard of excellence, confidentiality, and professionalism in key tasks associated with faculty and staff hiring and faculty tenure and promotion. This role also supports the Faculty's governance functions, collaborating with the Faculty Governance Administrator to ensure materials are collected and organized and that deadlines are met.

Key responsibilities include:

Managing the Dean’s schedule; Drafting and generating general correspondence from the Dean; Collaborating with the Associate Dean to ensure accurate set-up of staff and faculty contracts, including SmartHr submission, employee action forms, payment requests, and workload adjustment submissions; Assisting Associate Dean with ensuring sessional faculty are paid at the correct pay grades and with tracking Instructional Hours to ensure pay grades and benefits eligibility are changed to the correct level in accordance with the Faculty Collective Agreement; Collaborating with the Governance Administrator in facilitating the work of the Faculty's Tenure and Promotions Committee by liaising with the committees, setting up shareable, secure folders and appropriate access, and scheduling meetings; and Collaborating in coordinating standing and other committees (compiling/circulating agendas, preparing meeting materials, recording/distributing minutes, following up on action items, etc.).

Qualifications

A minimum of a diploma in Office or Business Administration, or a related field of study. A minimum of five years of progressively responsible and diversified administrative experience. Direct experience in a post-secondary or related public sector environment would be considered an asset. Experience and proficiency using Microsoft Office including Outlook, Excel, Word, PowerPoint; Google suite of applications; Enterprise Resource Planning (ERP) systems such as PeopleSoft; etc would be considered an asset. An equivalent combination of education and experience may be considered.
