We are looking for a Senior Administrative Assistant to work with our Corporate and People Services Departments to help us continue in our mission to serve our community with Kindness, Accountability, Respect, and Teamwork.
Position Responsibilities:
The Senior Administrative Assistant provides high-level administrative, coordination, and project support to Vice President(s) and assigned senior leadership portfolios. This role is responsible for detailed calendar and meeting management, portfolio oversight, and coordination of key deliverables and strategic initiatives.
The position is part of the broader administrative team and provides backup coverage to other Senior Administrative Assistants. The role also supports hospital-wide meetings and events, which may occur outside regular business hours; flexibility will be essential.
Qualifications:
- Minimum of five (5) years of experience providing senior-level administrative and/or project coordination support; experience in a healthcare or complex public-sector environment preferred
- University degree preferred; completion of post-secondary education in administrative studies or a related field, or an equivalent combination of education and experience
- Demonstrated experience coordinating, managing, and supporting projects, initiatives, and executive-level priorities
- Advanced knowledge of administrative practices, office procedures, and business processes
- Knowledge of medical terminology and advanced minute-taking skills, including documenting decisions and action items
- Superior oral and written communication skills, including report writing, proofreading, and document formatting
- Strong organizational, time-management, and prioritization skills, with the ability to work independently with limited supervision
- Proven ability to handle sensitive and confidential information with professionalism and discretion.
- Advanced proficiency with MS Office and related software (Word, Excel, PowerPoint, Visio, document-sharing systems) and strong internet research skills
- Demonstrated ability to work effectively under pressure, manage competing priorities, and meet tight timelines in a fast-paced environment
- Experience supporting Boards of Directors and Board Committees is considered a strong asset
Hours of Work: 37.5 hours per week, Monday to Friday (meetings and events may occur outside of regular hours)
Hiring Salary Range: $36.60 - $43.05 per hour
The approximate duration of this temporary position is twelve (12) months.
