Reporting to the Manager of Billing Compliance, the Supervisor of Billing Compliance in Client Billing Services will be responsible for overseeing client billing rates compliance procedures, including Client Fee Arrangements, Alternate Fee Arrangements (AFA’s), and Outside Counsel Guidelines (OCGs). The candidate has a proactive “can-do” outlook and ability to research and present effective solutions in response to shifting priorities and challenges. The Supervisor will also provide exceptional internal and external client service, working directly with clients, partners, and billing professionals and key stakeholders to ensure the team executes key operational tasks critical to the firm’s financial performance. This role requires high level of attention to detail, strong time management skills, and the ability to handle technical tasks while maintaining excellent interpersonal communication.

Major Responsibilities:
- Supervise the rates team members as it relates to Client Fee Arrangements, Alternate Fee Arrangements (AFA’s), Outside Counsel Guidelines (OCGs) and On-boarding to align the team in delivering seamless and exceptional service
- Assist the team and Manager with Client Rate Renewals
- Oversee the rates team productivity by creating and updating Rates Database, efficiently work with rates on E-bill platforms and managing new business intake and rate alert emails
- Review Financial Outside Counsel Guidelines (OCGs) and update various systems accordingly to capture clients’ requirements
- Act as an escalation point for all team members, to solve complex issues, and provide training, excellent customer service, and coverage when Manager is away
- Ensure the team's work product and policies abide by Firm policies, and handles confidential materials and documents
- Assist the Manager with updating policies, procedures, training materials and team’s year-end performance appraisals
- Oversee the team's time-off scheduling, work distribution, training initiatives, and ensure availability to address staff needs
- Assist with projects or additional tasks as assigned by Manager or Director
- Responsible for identifying process improvements, utilizing software to monitor systems, developing quality metrics and actionable recommendations
- Monitor team group email folders to ensure requests are being delegated and actioned in a timely manner
Position Requirements
Education and Experience
This position requires a University Degree specializing in a business discipline, and a minimum of three years Managerial experience in professional services. An equivalent combination of education, training and experience may be acceptable. Prior work experience in finance / pricing / compliance and project management function within the legal or professional services industry is preferred.
Knowledge and Skills
- Highly analytical problem solver
- Very high attention to detail, organized and time management skills along with ability to balance daily tasks and that within the team
- Ability to perform in a fast-paced ever-changing work environment and successfully adapt to changing priorities and work demands
- Collaborative with a positive attitude; excels at engaging with clients and building strong rapport and relationships
- Knowledge of SQL would be an asset but not required
- Expert in rates management structures in accounting systems that support the billing process and experience providing guidance to the billing team
- Experience with eBilling systems (e.g. Legal Tracker, CounselLink, TyMetrix, etc.) would be an asset but not required
- Experience with accounting systems, Aderant or Elite is an asset
- Proven ability to work cross-functionally with Accounting, Finance and other business areas
- Ability to communicate insights clearly, both in writing and verbally, accounting for varying subject matter backgrounds
- Proactive approach to work, with a mindset of continuous innovation and process improvements
- Proficiency with computers including advanced Excel skills
- Excellent leadership skills are required
- A compliance and procedural mindset is required
Compensation
The range of expected compensation for this position is $80,000 - $90,000 annually. Compensation offered will be based on a variety of factors including job-related knowledge, education, skills and experience.
We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
