Summary:
The Administrative Assistant plays a key role in supporting internal operations. Versatile and detail-oriented, they contribute to the smooth running of administrative processes, coordinate certain strategic initiatives, and help maintain a structured and efficient work environment. This position involves close collaboration with several departments, including transportation, accounting, customer service, and management.
Main Responsibilities:
Administration
-
Support teams with various administrative tasks (e.g.: invoice follow-ups and adjustments, client quote revisions, expense account submissions and tracking).

Perform all clerical work related to product tariff declarations at the border (multiple steps and files to complete for different departments).
-
Provide clerical support to the transportation department (data entry for container tracking, entry into the transportation register).
-
Draft, proofread, and format documents (letters, reports, meeting minutes).
-
Prepare files and reports in Excel or PowerPoint presentations.
-
Communicate various performance indicators (KPIs) and dashboards to the organization.
-
Support management in coordinating business travel.
-
Act as a backup at reception for phone calls and greeting visitors at the office.

Draft, proofread, and format documents (letters, reports, meeting minutes).

Perform any other related tasks.
Coordination
-
Collaborate with the marketing team to coordinate logistics for promotional campaigns and internal/external events.
-
Monitor timelines, deliverables, and external suppliers related to marketing projects.
-
Assist in preparing and formatting promotional materials (presentations, newsletters, posters, etc.).
-
Perform any other related tasks connected to marketing department activities.
Key Competencies
-
Fluency in French and strong proficiency in English (spoken and written).
-
Excellent command of Excel and the Microsoft Office Suite.

Ability to manage multiple files simultaneously while meeting deadlines and maintaining confidentiality.

Strong analytical skills, autonomy, and versatility.

Ability to structure information and follow up on files.

Adaptability to a dynamic environment and ability to manage unexpected situations.

Attention to detail and thoroughness.

Excellent interpersonal skills and ability to work as part of a team.
Experience

Minimum of 2 years of experience in a similar role.

Experience working in a dynamic and multitasking environment.
Educational Requirements

High school diploma completed.

Post-secondary education in a related field (administration, marketing, office technology) is an asset.
