About the role

The Marketing Operations Manager, Workflow & Project Management, is responsible for managing and continuously improving the enterprise marketing workflows and project management practices that enable the team to deliver work efficiently, effectively, and at scale. The role combines hands-on management of day-to-day projects and workflows, with strategic and longer-term initiatives (in collaboration with multiple stakeholder groups) that improve Marketing's workflow and project management capabilities. \n

Main Activities

Project and workflow management Own the day-to-day general management of marketing projects, including: Manage project intake with stakeholders and review brief submissions for completeness prior to resourcing. Allocate creative and email development resources and manage day-to-day schedules in the applicable resource management tool. Coordinate translations if required. Support paid ad trafficking processes for internal and external campaigns. Lead team standups and monitor project progression; this includes proactively identifying, managing and resolving any risks, blockers and prioritization issues with appropriate team members. Act as project manager on special projects and cross-functional initiatives as required, bringing structure, visibility, and delivery discipline to the work. Analyze resource capacity as needed and proactively flag resourcing risks, conflicts, or blockers and resolve in partnership with stakeholders.

Workflow systems and operational tools/ technology

Own the health and effectiveness of Marketing workflows by identifying risks, bottlenecks, and improvement opportunities, and implementing solutions informed by operational data and stakeholder feedback. Lead the evaluation, implementation, adoption and ongoing optimization of a new workflow management tool or system (for example, Workfront, JIRA, Monday.com, Asana or other similar solutions) fit for the enterprise marketing scope Develop training, guidance, and change management support to help teams adopt new project and/or workflow tools Identify and implement opportunities to automate repetitive marketing operations activities using AI or other automation tools to improve efficiencies Support experimentation, adoption, and scaling of AI-enabled solutions in collaboration with SMEs to enhance productivity, visibility, and workflow discipline.

Reporting and operational visibility

Develop and maintain operational reporting and dashboards to provide leadership with visibility into enterprise marketing project activity and resource capacity (including metrics such as project status/progression, capacity trends, throughput/delivery etc.) Translate operational data into actionable recommendations that improve team performance and delivery outcomes.

Invoice & administration

Manage invoice submissions to ensure prompt vendor payment. Maintain marketing team administrative records and documentation (for example, corporate credit card expenses, logins and credentials) to support business continuity. Support Marketing Operations team meetings as needed, including event management, coordination of presentation materials, and documentation of notes or follow-ups.

Knowledge / Skill Requirements

7+ years of experience in marketing operations, project management, workflow management, business operations, or related operational disciplines. Bachelor of Commerce, Marketing, Project Management, or an equivalent degree in a related field is a minimum requirement. Demonstrated experience designing, implementing, and improving business processes and operational workflows. Proven experience managing complex cross-functional projects with minimal oversight. Strong systems-thinking capabilities with the ability to connect operational activities to broader business objectives. Experience evaluating, implementing, and optimizing workflow management platforms and operational technologies. Experience developing reporting frameworks, dashboards, and operational insights. Strong stakeholder management skills with the ability to influence without direct authority. Excellent communication, facilitation, problem-solving, and organizational skills. Strong analytical capabilities and ability to identify patterns, root causes, risks, and improvement opportunities. Demonstrated experience leveraging AI, Copilot, automation, and digital tools to improve business processes and operational effectiveness.
