**Reports to:**Senior Manager, Workforce Planning & Scheduling

Position Summary: The Senior Workforce Specialist will be responsible for developing, implementing, and overseeing workforce planning to assist the business to optimize staffing levels, and resource allocation. This role will be responsible to deliver operational efficiencies and continuity through capacity planning, forecasting, leading, and overseeing of scheduling and intraday activities. The Senior Workforce Specialist, will partner with the business to analyze workforce data and trends to make informed decisions regarding staffing needs across different time horizons.

Additionally, the Senior Workforce Specialist will act as an advisor, supporting the development and deployment of our Workforce Management Platform and Applications, working on large-scale projects supporting IT, HR & Operations. You will work alongside internal and external partners to build and configure our workforce management platform’s capabilities to steamline and increase automation.

The successful candidate will act as a SME and contribute to the skills of team members through knowledge transfer and mentoring and enable the delivery of our Workforce practices based on established operating rhythms, considering WFM best practices, rules, labour and CBA regulations, within their designated department/functional area(s).

What You’ll Do: Workforce Management & Optimization

  • Execute and implement comprehensive workforce planning strategies to ensure the organization has the right talent in the right place at the right time.
  • Assess roles, capabilities, and regulatory environments to design a labour model and workforce plan aligned to our strategic objectives.
  • Partner with operations and finance team to forecast labour needs for the short, medium, and long term.
  • Leading the development of schedules and workforce process to support an employee base of over 7000 LifeLabs Employee across various provinces
  • Develop best practices, demand planning models, standard operating procedures, and training to support our distinct business units in building staff schedules to best meet patient demand
  • Workforce Planning: Execute workforce planning strategies to align staffing levels with business demand, considering factors such as seasonality, call/patient volume, and customer service targets
  • Forecasting and Analysis: Utilize historical data, statistical models, and market trends to create accurate workforce forecasts, ensuring adequate staffing to meet service-level goals.
  • Scheduling: Provide oversight into the development of schedules (regular, vacation, holiday) considering employee preferences, labor laws, CBA’s, and operational needs. Optimize schedules for cost-effectiveness and efficiency

Platform Optimization & Technology Business Support

  • Support the implementation and optimization of new cloud-based workforce management systems across operations.
  • Work with Project Teams to develop, configure and implement our applications from a Workforce perspective to best suit our client needs
  • Partnering with Operations and IT, lead the development of new capabilities roll-out into operations to sustain a healthy operating environment, including a significant investment in our WFM tools and KPI management systems.
  • Collaborate with vendor to drive incremental enhancements to user experience for both the WFM and Time Keeping modules within the Application platform
  • Oversee the use and optimization of workforce management software and tools to support forecasting, scheduling, and intraday monitoring

Workforce Analytics

  • Performance Metrics: Monitor and develop key performance indicators (KPIs) related to workforce management, such as service level, average handle time, Patient Wait Times and forecast accuracy.
  • Analyze and communicate trends in forecasts and Key Performance Indicators
  • Reporting: Prepare and deliver regular reports and analysis to senior leadership, highlighting key insights and recommending adjustments to workforce strategies.
  • Compliance: Ensure compliance with labor laws, company policies, and industry regulations related to workforce management and scheduling practices.

Partnership & Stakeholders Management

  • Work directly with internal and external partners to develop and document WFM governance models based on new and already established processes, practices, and methodologies
  • Collaborate with cross-functional teams including Finance and IT to enhance the forecasting process to support the effectiveness of Workforce Management
  • Collaborate with cross-functional teams including HR, Talent, and Operations to enable the capabilities for Business Units for a Shared Resource Model to mitigate against labour shortages
  • Mentor a team of workforce management administrators, providing guidance and support to ensure efficient staffing and scheduling.

What You'll Bring:

  • Post Secondary Degree and/or related discipline
  • 3-5 Years Workforce Management experience
  • Experience working with Scheduling/Time Entry software is required.
  • Previous experience working with Dayforce WFM is an asset preferred.
  • Highly proficient in Microsoft Tools, particularly Excel
  • Experience with Canadian Labour Laws and CBA’s is an asset

What We Offer: Salary range:$81,431- $103,825 CAD annually (commensurate with experience)
