We have an exciting opportunity for a full-time position as a Governance and Contracts Specialist. This position follows a hybrid work arrangement and is ideally based in Toronto. However, candidates located elsewhere in the country who can work from any of our other regional offices will be considered.
What will you do?
Reporting to the Chief Operating Officer, you will own CFIB’s contract and governance processes, coordinating reviews, maintaining registers, and ensuring compliance obligations are met with accuracy and consistency.
Responsibilities
- Maintain and oversee CFIB’s central contract register, ensuring all agreements, key dates, and obligations are accurately tracked
- Conduct first-pass contract reviews using standard checklists, identifying gaps, risks, and deviations for escalation
- Coordinate contract approvals and routing, including engagement with internal stakeholders and external counsel
- Maintain and update contract templates and approved language libraries
- Own and manage CFIB’s policy register, ensuring all organizational policies are current, complete, and properly documented
- Establish and track policy review cycles, following up with stakeholders to ensure deadlines are met
- Coordinate annual staff policy acknowledgements and track compliance across the organization
- Maintain and monitor insurance records and renewal timelines, flagging renewal risks or coverage gaps
- Track corporate filings and regulatory requirements, ensuring timely and accurate submissions
- Support privacy compliance by documenting incidents and coordinating breach reporting in line with applicable legislation
- Identify and flag compliance risks, gaps, or upcoming obligations to the COO
- Contribute to risk management and governance processes by maintaining accurate, accessible documentation
What makes a successful Governance and Contracts Specialist?
- Paralegal diploma, legal administration certificate, or equivalent experience working with legal or compliance documentation in a corporate or not-for-profit environment
- 2–4 years of experience in contract administration, legal administration, compliance coordination, or governance support
- Strong attention to detail with the ability to review documents, identify issues, and escalate appropriately without overstepping into legal interpretation
- Experience managing contract registers, policy inventories, compliance documentation, or regulatory filing calendars
- Excellent organizational and time management skills, with the ability to manage multiple deadlines and follow up proactively
- Comfort working within structured policy and compliance frameworks, with a clear understanding of the importance of governance discipline
- Proficiency with Microsoft 365 tools, including Word, Excel, and SharePoint
- Familiarity with privacy legislation, corporate filings, and insurance or regulatory requirements, ideally within a not-for-profit, association, or similar environment
- Exposure to risk management frameworks and experience using AI tools or workflow automation to improve efficiency and tracking
