ROLE:

The Administrative Assistant is responsible for supporting the Adult Team Coordinators, delivering services and programs to people living with developmental disabilities. Assisting in processing payments and supporting individuals to access community services. Support Coordinators often engage in problem solving unique solutions to meet the needs and goals of adults supported.

QUALIFICATIONS:

  • Applicants must meet the criteria for youth participation under the Canada Summer Jobs Program.
  • Direct experience working with people who have developmental and physical disabilities and their families or other networks
  • Highly developed interpersonal and problem solving skills
  • Excellent organizational and time management skills, oral and written communication skills
  • Ability to multi-task and to work well under pressure, both independently and as part of a team
  • Working knowledge of computer applications (ie. word processing, database, email and internet use)
  • Mental health experience and education an asset
  • Knowledge of local community resources and services as an asset

HOURS AND PAY:

  • Three month contract, June – August 2026.
  • 37.5 hours per week. Hybrid remote, two days per week in-person. Regular schedule flexible in discussion with supervisor.
  • $20.48 per hour +6% vacation pay.

RESPONSIBILITIES AND FUNCTIONS

Reporting to the Program Manager, ensures the provision of services offered by Extend-A-Family Waterloo Region to individuals with developmental and/or physical disabilities and their families:

Provide administrative support on behalf of families and individuals served:

  • Receive reimbursement information from families and individuals served
  • Verify required information, and format submissions for processing by finance team.
  • Identify missing information on submissions and referring to specific team members for detailed follow-up.
  • Remain up to date on changing guidelines and funder expectations
  • Maintain strict confidentiality for service users

Attend Meetings:

  • Attend supervision meetings with the Program Manager as requested/required
  • Attend weekly meetings focused on team and organizational updating and development
  • Participate in internal/external committees with approval and direction of the organization

Special Assignments and Other Duties:

  • Undertake key activities and new ventures, in conjunction with or as assigned by the Director of Programs, Organizational Development Director and/or Executive Director.
  • Promote growth of an organizational culture that is both inclusive and anti-oppressive.
  • Participate in ongoing personal and professional development opportunities
