Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.

Position Overview

Reporting to the Administrative Assistant 4 - Facility Management and Maintenance Services, the incumbent is responsible for the effective, efficient provision of secretarial support for Maintenance Services.

Duties include:

  • Typing & formatting of routine correspondence and memoranda.
  • Sets up and maintains all office systems.
  • Performs payroll duties for personnel, coding of timesheets, correction notices, and meal and mileage credits.
  • Provides daily reception coverage and vacation/sick coverage for the Secretary in the Department and to a lesser extent helps when one of the Administrative Assistants is away.

Experience

  • One-year previous related experience required, preferably in a hospital setting.

Education (Degree/Diploma/Certificate)

  • Complete high school education, Manitoba standards, required.
  • Successful completion of a recognized secretarial training program required.
  • A combination of education and experience may be considered.

Qualifications and Skills

  • Typing 50 wpm required.
  • Demonstrated proficiency in the use of Microsoft Office (Word, Excel, MS Teams, SAP, ESP, Outlook) required.
  • Arithmetic competence for petty cash control and record keeping required.
  • Knowledge of database entry work preferred.
  • Must have excellent organizational, interpersonal and communication skills.
  • Knowledge of Health Sciences Centre personnel and payroll procedures as well as some knowledge of support union contracts related to employee benefits is an asset.
  • Must have excellent telephone manner and the ability to receive and relay precise messages.
  • Must be able to function well with frequent interruptions.

More than 8,000 staff, physicians and volunteers care for patients. Highly-skilled interdisciplinary teams provide complex, specialist (“tertiary”) acute care, including diagnostic, outpatient and inpatient services to adults and children across Manitoba, north-western Ontario and Nunavut.

HSC is a Shared Health facility, and is Manitoba’s provincial tertiary centre for trauma, transplants, burns, neurosciences, complex cancer care and pediatric care. Every clinical hospital-based service available in the province is offered at HSC, with the exception of cardiac surgery and eye surgery. This means the majority of Manitobans’ tertiary care is provided here, regardless of which community our patients call home.
