Job Summary:

Under the direction of the Manager, Communications and Research, the Communications Co-ordinator is responsible for supporting the department in executing and monitoring communications strategies. This role includes the development, implementation, management, maintenance, and revision of public relations plans, and supporting activities. This role is relied upon to develop effective communication strategies and methods that reflect a positive image of the Division.

Duties and Responsibilities:

  • Communications

  • Collaborate with the Communications department to develop, implement, and evaluate communication strategies for the division, schools, and departments.

  • Publicize or assist in publicizing school anniversaries, student and staff achievements, educational programming and special events for the Division and individual schools.

  • Respond to emails from the public (e.g., parents, students, organizations, and members of the community) addressing enquiries and providing information through the “Contact Us” page of the divisional site.

  • Editing

•Edit internal and external materials, for both print and digital, for the Division, departments, and individual schools, including brochures, posters, reports, web stories, articles, and social media posts.

  • Edit and format content such as divisional forms, reports, directories, speeches, newsletters, presentations, news releases with a quick turnaround.

  • Publications

  • Prepare regularly scheduled publications for the senior administration team, such as the Strategic Plan.

  • Distribute communications materials to schools and work sites throughout the division.

  • Act as a communications resource in collaboration with the communications team, assisting in the branding of materials for all departments and schools in the Division.

  • Assuming other related duties and responsibilities as may be assigned.

  • Digital media

•Manage divisional social media accounts, monitor activity on Division and school accounts, and gather analytics for evaluation.

  • Edit and maintain websites and liaise with website support to resolve concerns.

  • Monitor media websites for stories about the Division, schools, and education issues.

  • Prepare information bulletins for internal website to advise Division employees of matters of which they should be aware.

  • Take photos for divisional purposes, edit and select photos for web stories, newsletters, and social media posts.

Qualifications, Skills, and Abilities:

Qualifications

  • A degree or diploma from a recognized university or college specializing in Public Relations, Journalism, or Communications required.

  • Minimum 2 years’ experience in the public relations field.

  • Demonstrated experience dealing with print and digital media.

Skills and abilities

  • Efficient editorial skills.

  • Able to work under pressure of tight deadlines.

  • Demonstrated ability in the writing of information articles, media releases, and business communications.

  • Excellent interpersonal and communication skills.

  • Experience and knowledge of the public school system is an asset.

  • Experience working with public organizations is an asset.

  • Knowledge of the latest social media trends.

  • Ability to speak French is an asset.

Physical Demands and Working Conditions:

Physical demands:

  • Sitting or standing for extended periods of time.

  • Hand-held telephone receiver may require repetitive arm-stretching and elbow-bending action.

  • Extensive use of computer mouse and keyboard.

  • Prolonged periods of viewing computer monitor.

Working conditions:

  • Exposure to frequent interruptions with conflicting demands and varied deadlines.
