About the role
We are seeking a dedicated and experienced Senior Property Manager to oversee our property management operations. The ideal candidate will possess strong leadership skills, a customer-focused mindset, and a comprehensive understanding of property management practices. This role is pivotal in ensuring the efficient operation of our properties while maintaining high standards of tenant satisfaction and property performance.
Responsibilities
- Manage daily operations of assigned properties, ensuring compliance with company policies and regulations.
- Develop and implement property management strategies to enhance tenant retention and satisfaction.
- Conduct regular property inspections to assess condition and identify areas for improvement.
- Handle tenant inquiries, complaints, and lease negotiations with professionalism and courtesy.
- Maintain accurate records through data entry and file management using property management software such as Yardi.
- Provide administrative support including reporting on occupancy rates, financial performance, and operational metrics.
- Ensure that asset conditions and operations are maintained at a high standard by proactively deploying trades and service contractors to maintain building components and by conducting regular site visits.
- Develop, track, and prepare operating budgets while supporting the finance team with invoices, forecasting, and reconciliation activities.
- Manage property administration by ensuring compliance with all health and safety regulations, as well as applicable codes and standards.
- Supervise the performance of third-party service providers to ensure they deliver high-quality service.
- Assist the CEO in establishing a best-in-class property management platform.
- Oversee delinquency and collections.
- Prepare and/or approve monthly reports related to Property and Asset Management, including Rent Roll, Variance Reporting, and Monthly Property Reporting.
- Maintain expert-level knowledge of residential tenancies, the Tenancy Act, and legal matters related to tenancies.
- Help the CEO document claims and incidents and assist in resolving any related issues.
- Stay informed about property management, residential tenancies, health and safety requirements, non-profit housing, and leadership and communication skills through educational workshops, professional publications, and networking.
- Provide leadership, training, and direction to all building personnel, serving as a resource to proactively resolve issues.
- Promote and participate in community initiatives.
Qualifications
- Proficiency in CMMS (Computerized Maintenance Management System) for tracking maintenance activities.
- Excellent phone etiquette to communicate effectively with tenants, vendors, and team members.
- Strong customer service skills to address tenant needs promptly and effectively.
- Administrative skills for managing documentation, reports, and office tasks efficiently.
- Attention to detail in data entry tasks to ensure accuracy in records and reporting.
- Ability to negotiate effectively with vendors, contractors, and tenants to achieve favorable outcomes.
- Strong leadership skills, staff supervisory experience
- Accounting Competency, including budgeting, account analysis, and financial management and processes.
- Strong follow-up skills with the ability to effectively resolve complex issues on time
- Experience using Yardi Breeze is an asset.
- Excellent computer skills - MS Office
- Certified Property Manager (CPM) professional designation as an asset
- Minimum five years property management experience
- Valid drivers license with the ability to travel within Nova Scotia
About Tawaak Housing Association Tawaak Housing Association is one of many Urban Native Housing Corporations that sprung up in most major Canadian cities since the early 1970's in response to a growing need for a separate Aboriginal housing program within the over all framework of the Canadian social housing delivery system. Given existing patterns of societal actions (discrimination and exclusion) coupled with the Aboriginal community's education and employment levels (lower than the non-Aboriginal population in both), was a recognition that the core housing needs of an urban Aboriginal population, migrating from rural areas and reserves, could be better served by separate and distinct Aboriginal housing groups.
Formed in 1981, Tawaak Housing Association is a private non-profit housing corporation that owns, operates and delivers socially assisted rental housing in six urban areas of Nova Scotia. The mandate of the housing corporation is to provide suitable, adequate and affordable housing to Aboriginal peoples of low to moderate income who reside in urban areas of the province, who cannot attain housing through the regular housing market. Assisted by both the Federal Government and the Government of Nova Scotia, Tawaak's portfolio consists of fifty-four properties comprising of one hundred and forty-five units supported under the Urban Native Housing Program and the Private non-profit housing program. Approximately eighty-two percent of the portfolio is located in the urban centers of Halifax and Dartmouth, while the remainder are located in Sydney, Truro, Antigonish, Liverpool and Bridgewater.
