Job summary
MLT Aikins is currently looking for an administrative assistant to join our foreclosure team. This is a full-time position required to meet client and transactional deadlines. The successful candidate will be expected to work independently under the supervision of lawyers and paralegals.
Responsibilities include:
- Preparing various administrative tasks to support the foreclosure paralegals and lawyers including scanning, printing and photocopying
- Conducting and coordinating public office searches including land titles offices, municipal tax offices, corporate registry and bankruptcy,
- Supporting foreclosure paralegals with tasks such as filing documents with all Court registries, maintaining physical files, handling trust deposits and withdrawals and updating client portals
- Drafting basic foreclosure documents
- Maintaining and organizing schedules of court hearings
- Processing all incoming and outgoing funds
- Preparing written correspondence
- Attending to file openings, closings and conflict searches
- Preparing statements of account as necessary
- Communicating directly with clients and other parties as necessary
Qualifications include:
- Graduate of a recognized legal assistant program or equivalent
- A minimum of two years of experience working as an administrative assistant, ideally in residential and commercial real estate and commercial financing or refinancing
- Excellent attention to detail including drafting and proofreading correspondence
- Strong initiative and the ability to work independently with minimal supervision
- Proficient computer skills including Word, Excel, Outlook
- Strong organizational skills and the ability to prioritize and organize work to meet client-driven and transactional deadlines
- Excellent verbal and written communication skills
