About the role
The Artistic Coordinator is a key contributor to the Alberta Ballet School team responsible for the organization and execution of all key events and performances. The Artistic Coordinator directly supports the Director of Alberta Ballet School to ensure that the full artistic goals and outcomes are prepared and organized.
Event Planning and Programming
- Plan, organize and implement all logistics for school programs and activities school calendars, student photos, including parent viewing virtual and in-person and other programs as assigned.
- Set up required events as per the school calendar.
- Plan and coordinate all details for the International and National audition Tour, including schedules, logistics and travel.
- Ensure external contractors have valid independent contractor and service agreements in place for work associated with School programs and activities.
- Plan and organize guest speakers for Career Transitions program annually.
- Coordinate all performance logistics and details. This includes creating production schedules, coordinating videographer and photographer, preparing sign-in and sign out lists, attendance lists, emergency contact lists of students, assisting and coordinating Front of House and volunteer support as required.
- Coordinate Front of House activities for performances including program information, lobby set up and take down, volunteer sign in and out.
Scheduling
- Support weekly scheduling and teacher replacements for professional training program.
- Communicate regularly with staff to ensure all relevant school information is known and understood for programs and events.
- Prepare the annual calendar of all events and timelines and communicate with all groups of the organization.
Facilities
- Communicate with contractors, building management, vendors on any repairs or facility improvements to ensure that the school facilities are well maintained in all areas.
- Work with all parties for vendor requests and ensure purchase requisitions are created and approved.
- Seek quotes and work with vendors for capital purchases.
School Safety
- Adhere, guide, and implement all safety procedures, processes.
- Oversee and implement Emergency Response Procedure.
- Attend and represent school in Health & Safety Committee meetings.
- Communicate health and safety committee action items to appropriate School departments or personnel as required.
- Support in scheduling fire drills and lockdowns in conjunction with the Academic Principal
- Ensure safety inspections are completed (fire extinguishers, first aid safety kits).
- Communicate with staff and students regularly on school safety procedures and processes.
- Ensure Health & Safety Communication Boards are up to date with most recent information.
Volunteer Oversite

Manage all aspects of volunteers required for school events and programs which include data maintenance, recruitment, registration & qualification.

Coordinate communication with volunteers including volunteer handbook & qualifications requirements such as Respect in Sport & Police Background & Vulnerable Sector Check.

Mange distribution of Calgary Police Services online Background & Vulnerable Sector Check to volunteers for processing.

Update Volunteer Letter templates, handbooks, and documentation annually as required.

Communicate volunteer opportunities and sign-ups upon confirmation of requirements as per specific events.

Provide information to volunteers on volunteer orientations, arrivals, and safety protocol orientations.

Track volunteers’ hours throughout the year for grant reporting purposes.

Excellent oral, written, analytical and technical skills.

Communicate in a thorough, clear and timely manner.

Strong organizational and planning skills, ability to determine priorities and be self-directed with minimal supervision.

Strong working knowledge of Office 365 applications (Word, Excel, Outlook, SharePoint, Teams)

Strong interpersonal, relationship building and conflict resolution skills.

Creative problem-solving skills.

Background in dance and or teaching is an asset.

Post-secondary education or a minimum of 3 years’ work experience.

Project management and scheduling experience.

Experience in budgeting and basic accounting.

Proficiency in Microsoft Office Suite (excel, word, PowerPoint).

Standard First Aid and CPR Certificate is considered an asset.
