Location - This role is hybrid with a mix of remote and in-person work at Enterprise Square.
Reporting to the Manager of Advancement Records, the Records Analyst is responsible for maintaining and augmenting information for more than 400,000 alumni and donors in the Advance Bio database. The Analyst collects, analyzes and researches information and responds to faculty and department data requests or provides related services. This position also facilitates the engagement of alumni and donors with the university by responding to inquiries related to their biographical records in a highly professional manner, that encourages engagement and support of the university and the building of its reputation.
The Vice-President - External Relations leads the University of Alberta’s efforts to enhance and protect its reputation locally, nationally, and globally. This role oversees the development and execution of strategic initiatives that shape how internal and external audiences perceive the university.
With a focus on communication, engagement, and relationship-building, the Vice-President provides leadership for Communications and Marketing, Alumni Relations, Advancement, and Government and Community Relations. These teams collaborate to support the university’s brand, foster donor and alumni engagement, and establish strong connections with public and community partners.
Through these coordinated efforts, the Vice-President - External Relations ensures the university’s image, influence, and impact are advanced in alignment with its mission, values, and long-term goals.

Provides expert advice to alumni, donors, faculties and departments in response to their inquiries related to information in the Advance Bio database

Engages with alumni and donors to share their life events and accomplishments, for inclusion in their Advance records, to enable the university to identify opportunities for engagement and giving

Analyzes information and data requests to ensure the information is complete and POPA compliant before responding to requests or updating the database

Reviews returned mail, researches current contact information for constituents and initiates contact where appropriate (e.g. emails, phone calls and letters)

Collaborates with other Advancement staff and faculty/department representatives to resolve issues related to their information and data needs

Reviews and analyzes constituent data to determine how to correct identified issues and update records

Identifies and recommends changes to business processes and procedures to improve the effectiveness and efficiencies of the operation and the delivery of services

Performs other related duties as assigned

Postsecondary education in library, archives or information management fields strongly preferred; equivalent combination of education and experience will be considered; minimum High School Diploma

2-3 years related experience including using online, public and commercial databases; an understanding of search strategies and database content

Experience working in a fundraising environment preferred

Computer proficiency in MS Windows applications (Word, Excel, PowerPoint) and the Google Suite (Gmail, My Drive, Team Drive, etc.)

Experience with Advance applications and PeopleSoft Campus Community is an asset

Knowledge and experience in interpreting and applying POPA; familiarity with University of Alberta policies and procedures is an asset

Well developed sense of motivation, perseverance and good judgment
