Administrative Assistant – Michif Languages Program
Location: 124-1530 27th Avenue NE Calgary, AB

Position Status: Full Time (40 hrs per week), Permanent
The Otipemisiwak Métis Government is recruiting for a full time Administrative Assistant to join the Michif Language Program Language Revitalization team as a part of the Intergovernmental Relations Department. Reporting to the Michif Language Manager, this position will be responsible for ensuring smooth day-to-day operations of the Language Revitalization Team dedicated to the preservation and revitalization of Michif and other Métis languages. The successful candidate will provide essential administrative support for ongoing language initiatives and community engagement efforts, oversee logistics for language programs and events, and manage program data. This position requires a motivated, adaptable, and detail-orientated professional with a commitment to supporting Métis language revitalization.
Key Responsibilities

Ensure administrative activities are delivered in a timely and efficient manner.

Enter and process expense claims and invoices with accuracy.
-
Prepare, distribute, and appropriately file meeting agendas, records, and meeting minutes.
-
Prepare and complete internal and external correspondence, including legal documents, forms, letters, reports, presentations, and other documents.
-
Order supplies for department programming and events.
-
Book travel accommodations.
-
Manage inquiries by phone and email, providing accurate and timely information about language programs and initiatives.
-
Assist with intake and registration for language programs and events, ensuring participant eligibility and proper documentation.
-
Track program participation and metrics, including number of participants, program outcomes, and demographic information.
-
Support the preparation of materials such as brochures, pamphlets, and online content to promote language initiatives.
-
Assist in the coordination of logistics for language classes, community workshops, and cultural events, including scheduling, booking venues, and liaising with vendors.
-
Maintain a high level of cultural sensitivity, professionalism, and confidentiality in all interactions and when handling sensitive documents.

Other duties as required or assigned.
Skills & Competencies

Recognized strength in supporting teams and providing administrative and clerical support to add to organizational capacity.

Proficient in Microsoft Office programs (including Word, Excel, and SharePoint).

Superior written and verbal communication skills, including professional email etiquette.

Strong planning and organizational skills, with an ability to organize and prioritize daily tasks and long-term objectives.
-
Excellent interpersonal skills, with the ability to build strong working relationships.
-
Ability to work independently as well as part of a team.
-
Ability to take initiative and be innovative in improving office and administrative procedures.
-
Willingness to learn and develop new skills.
-
Flexible and adaptable, with an ability to switch between multiple priorities.

Ability to work with and convey messages to different audiences.
-
Political and cultural sensitivity.

Clear understanding of the Otipemisiwak Métis Government and knowledge of Métis history, culture, and languages, with an understanding of language revitalization principles.
Qualifications
-
Administrative certificate/diploma or education in a related field is an asset. Other relevant training and experience is considered valid.
-
Minimum of two years of experience in a similar administrative or receptionist role, preferably within a government, non-profit, or Indigenous organization.
-
Minimum of two years of customer service experience required.
-
Familiarity with Indigenous language revitalization, linguistics, or education is an asset.
Other Requirements
-
Ability to work a regular schedule of Monday to Friday, 8:30 AM – 4:30 PM, as well as occasional evenings and weekends.
-
Some travel within Alberta is a requirement, including some overnight stays. Additional, less frequent, out-of-province travel may also occur, with notice.

Valid Class 5 Driver’s License and operational vehicle is required.
