Temporary, Part-Time (0.6 FTE) Position

The West Vancouver Parks & Community Services Division has an immediate opening for a temporary, part-time Administrative Assistant. Reporting to the Senior Manager of Parks, this position will be responsible for:

  • Providing a broad range of administrative support including the preparation of complex reports, presentations, statistics, organizational charts, divisional work plans and correspondence;
  • Supporting the Senior Manager and management team in research, data compilation and analysis;
  • Managing the Senior Manager’s schedule, maintaining organizational charts, departmental work plans, timelines and project management schedules;
  • Scheduling and attending confidential management, labour relations and council meetings;
  • Preparing internal and community agendas and transcribing and distributing meeting minutes;
  • Projecting a professional and supportive image to all parties in the screening of telephone calls and greeting guests. Prioritizing people and situations in need of attention;
  • Coordinating the implementation of administrative policies;
  • Organizing office functions including mail distribution, scheduling, ordering office supplies, filing and maintaining records;
  • Coordinating training registrations and booking travel and accommodation arrangements;
  • Submitting payroll information, ordering supplies and assisting in the collection and coordination of budget documents for the Parks & Community Services Division;
  • Liaising with internal and external contacts including explaining and interpreting rules and regulations which govern department operations; and
  • Participating in other duties and special projects as assigned.

The preferred candidate will possess:

  • Exceptional multitasking skills; a high level of expertise in Microsoft Office suite, including SharePoint, Word, Excel, PowerPoint and Outlook;
  • Experience with document management systems;
  • The ability to maintain confidentiality and composure in all aspects of the work;
  • Knowledge of local government and its relationships with residents, other levels of government, and the private sector and;
  • The ability to take the initiative and work independently to support the Senior Manager of Parks & the management team as required.

The successful candidate has grade 12 plus courses in administration support and at least three years of experience as an administrative or executive assistant or, a combination of education and comprehensive related experience in the public or private sector administration or business. Knowledge of local government and its relationships with residents, other levels of government and the private sector. The ability to communicate effectively both verbally and in writing and work tactfully with a diverse range of people and groups, the ability to multi-task, problem solve and pay attention to details while being aware of the broader context.

A BC Driver’s Licence valid for the Province of British Columbia is required. The successful candidate is required to supply a criminal record check and a copy of their credentials.

Starting Rate of Pay:

$66,411- 74,690 per annum pro-rated (2025 rates)
