To support our continued growth and development, we are seeking an Executive Assistant to support the Chief Commercial Officer (CCO) and Sales team in driving alignment and progress on key initiatives, while also contributing to select programs led by the CEO Office.
This person will have to be based in Langley, BC.

OVERVIEW
The Executive Assistant provides executive support in a one-on-one working relationship with Congebec’s Chief Commercial Officer (CCO). With a high degree of initiative, judgment, and discretion, this role serves as a key liaison with internal and external stakeholders and contributors. The Executive Assistant ensures accountability and progression in mandates and initiatives led by the Sales team, while also supporting select programs from the CEO Office. Discretion and attention to confidentiality are essential to success in this role.
CEO Office
The CEO Office provides strategic and administrative support services across the organization. We work behind the scenes to ensure cohesion between divisions, foster collaborative work, and help ensure that Congebec’s commitments and objectives are met.
We work closely with members of the Senior Leadership Team (SLT), the Board of Directors (BoD), as well as the Operational Leadership Team (TLT) and Congebec’s Tactical Team (CTF). We focus on five key areas: administration, advisory, project coordination, strategic initiatives, and relationship building.
General skills
Under the supervision of the Leader, CEO Office, the Executive Assistant to the CCO will:
Support to the CCO (35%)
- Manage complex scheduling, travel arrangements, and logistics.
- Prepare and track expense reports and budget documentation.
- Coordinate meetings, materials, and follow-ups.
- Serve as a liaison between the CCO and internal/external stakeholders and contributors.
Support to the Sales Team (40%)
- Maintain internal systems and tools to ensure accurate and up-to-date information.
- Follow up with team members to ensure accountability and timely completion of tasks.
- Track progress on sales-related initiatives and provide regular updates.
- Coordinate with internal departments to support sales operations and reporting.
- Maintain organized digital filing systems to ensure easy retrieval of information.
Support to the CEO Office (15%)
- Assist in the planning and execution of programs, initiatives, and events.
- Prepare presentations, reports, and briefing materials.
- Organize internal and external meetings, workshops, and events.
- Handle sensitive information with discretion and professionalism.
- Contribute to a positive workplace culture and act as an ambassador of the company in all interactions.
Administrative Support (10%)
- Manage office supplies and logistics.
- Support internal communication by drafting emails, proofreading and editing documents, taking meeting notes, and following up as needed.
- Assist with ad hoc administrative tasks and special projects that support emerging priorities.
EDUCATION AND PROFESSIONAL EXPERIENCE
- Post-secondary education in business administration or related field.
- At least three (3) years’ experience in a high-level administrative support or similar role.
- A combination of education and/or equivalent professional experience.
ESSENTIAL SKILLS

- Clear and effective communication (written and verbal)
- High level of discretion and confidentiality
- Strong interpersonal skills and relationship-building ability
- Ability to manage multiple priorities with attention to detail

POSITION REQUIREMENTS:
- Proficiency in English is required; fluency in French is a strong asset.
- Advanced knowledge of Microsoft Office suite.
- Familiarity with planning tools such as Microsoft Planner and Asana.
