About the role

This position has a term length of one year plus one day, with the possibility of extension.

**Location -**This position offers a flexible work arrangement, allowing for a combination of remote and in-office work (in Edmonton). Preference for schedule will be discussed during the recruitment process.

Working for the Alberta Biodiversity Monitoring Institute (ABMI), the Program and Administration Assistant provides financial, accounting, and administrative support. This position has two areas of focus: 1) Supporting Biodiversity Pathways (the ABMI’s subsidiary), and 2) financial administration support for ABMI’s growing field operations.

The Faculty of Science is internationally recognized for excellence in research and education. Through pioneering discovery and innovation, the faculty addresses global challenges across disciplines such as biology, chemistry, computing science, physics, mathematics, and earth sciences. Its work positions the university at the forefront of technological, environmental, and scientific advancement.

  • Administer and monitor Biodiversity Pathways and ABMI (as needed) contracts, grants and agreements following established policies and procedures.

  • Using external banking system (ScotiaConnect), manage and process Biodiversity Pathways’ and ABMI’s (as needed) electronic funds transfers (including EFTs, wire transfers, and e-transfers), travel/expense claims, and supplier invoices.

  • Administer Biodiversity Pathways’ consolidated budget process (including working papers, verifications, and variance analyses), including obtaining, collecting, and disseminating budget materials; recommend improvements to Biodiversity Pathways budget and planning processes.

  • Reconcile operating budgets and all transactions to external accounting system (Sage 50).

  • Prepare reports used for year-over-year trend and issues analysis (using Sage 50) for Biodiversity Pathways.

  • Develop and implement administrative systems, supports, and processes for Biodiversity Pathways.

  • Other administrative support for Biodiversity Pathways and ABMI as needed.

  • A two-year accounting diploma.

  • Excellent interpersonal, organizational, and oral and written communication skills.

  • Ability to work in a fast paced, dynamic work environment.

  • Experience working in and supporting an organization with staff in dispersed locations.

  • Equivalents in education and experience will be considered.

Preferred Qualifications

  • Knowledge of International Financial Reporting Standards (lFRS) combined with significant budget/forecasting experience.
  • Knowledge of General Accepted Audit Standards (GAAS).
  • Knowledge of Sage 50 Accounting.
  • A thorough and complete understanding of accounting concepts, best practices and principles, including Public Sector Accounting Standards (PSAB), Not for Profit Accounting, and Generally Accepted Accounting Standards (GAAP).
