HOURS: 7.0 hours per day – 12 Month Classification
JOB SUMMARY:
Reporting to the Manager of Accounting, the Purchasing Assistant will assist in all aspects and areas of the services provided by
the Purchasing Department. The incumbent will work with internal and external parties and ensure all information and data is
prepared and entered accurately according to divisional guidelines and procedures. The incumbent will also assist with special
projects as assigned. The Purchasing Assistant position supports the strategic actions of the Multi-Year Strategic Plan.
RESPONSIBILITIES AND DUTIES
As the Purchasing Assistant, your responsibilities include:
- Process purchase requisitions.
• Prepare purchase orders.
• Maintain vendor database.
• Research and obtain pricing for supplies and services.
• Assist and answer inquiries on orders, ordering procedures, and receiving.
• Liaise with vendors.
• Assist to input/maintain tender information in computerized catalogue.
• Order, expense, maintain inventory and ship supplies as required for The Store and Board Office.
• Assist to prepare reports, journal entries, grant claims, tenders, and correspondence.
• Add and maintain KwikTag document records.
• Update and maintain archived records.
• Other related duties, as assigned.
QUALIFICATIONS (EDUCATION AND EXPERIENCE):
Education and Training:
- Completion of formal business training/courses in purchasing or related field; Supply Management Training Certification.
Experience, knowledge, and skills:
- 1 to 2 years of purchasing experience in a computerized environment.
- Strong skills and experience in Office 365 apps.
- Experience with Microsoft Dynamics Navision or 365 is preferred.
- Strong interpersonal, communication, problem-solving and public relations skills.
- Strong organizational skills.
- Ability to work effectively in a team environment.
CONDITIONS OF EMPLOYMENT:
- Satisfactory Criminal Record Check, including Vulnerable Sector Search.
- Clear report from the Child Abuse Registry.
- Completion of Respect In School or equivalent training.
- Review and comply with Divisional policies and guidelines.
- Continued employment is subject to maintaining legal eligibility to work in Canada.
