Join our team as Project and Faculty Liaison Officer within the Department of Surgery at McMaster University, where we are committed to delivering a warm and
seamless onboarding experience for new Clinical Faculty members.
In this role, you will:
- Collaborate closely with university and hospital partners, offering exceptional support in setting up clinical practice, training, and relocation assistance.
- Work directly with our strategic leads for the CREATE strategic pillars, providing coordination and support to help drive their vision forward.
- Develop and implement a structured onboarding program for new Faculty members in partnership with our Advancement Lead and hospital partners, ensuring a comprehensive and welcoming integration process.
- Serve as the primary point of contact for new Faculty members joining the Department, offering guidance and establishing ongoing touchpoints throughout their first year to foster connection and support.
The ideal candidate will bring:
- Project management experience (considered a strong asset).
- Exceptional interpersonal and relationship-building skills to foster positive, collaborative connections with Faculty, hospital, and university stakeholders.
- A self-starter mindset with the ability to take initiative, demonstrate ownership of their work, and consistently drive results.
This is a pivotal role in ensuring that new Faculty feel supported and connected while advancing strategic priorities within the Department of Surgery.
The Faculty Liaison Officer reports directly to the Director of Administration and works closely with the Department Chair and Faculty Advancement Director.
This is a hybrid position, with on-site presence at various hospital sites as required, including the Surgery Admin team office located in the Institute of Applied Health
Sciences (IAHS) at the Main Street location. This is a contract position for approximately 24 months.

Job Summary:
Responsible for leading onboarding for new faculty members, ensuring a seamless transition as they join the university and hospital community. Provides administrative support to Department projects and Division Head projects. The Project & Faculty Liaison Officer collaborates closely with various university and hospital stakeholders to coordinate all onboarding activity and Department projects, including establishing clinical practice with the hospital, training, access, and overall support for new clinical faculty. Additionally, this role provides essential assistance in relocation matters, including housing support and facilitating acclimatization to the new area. Participates in the development of work methods and procedures and recommends procedural changes to improve efficiency in onboarding between hospital and university.
Purpose and Key Functions:

Serve as the main point of contact between the institution and new clinical faculty members throughout the entire onboarding process.

Provides administrative support to key Department projects and Division Head projects

Establish a welcoming and supportive atmosphere for faculty members, Department Leads and Division Heads,

Ongoing and proactive communication with new Faculty members preparing for onboarding, including regular check-in meetings.

Conduct meetings and introductions to department/division leadership and colleagues to create a positive and welcoming experience.

Provide administrative support to new faculty, Division Heads and Department Leads to address any challenges or issues.

Independently respond to inquiries and concerns from Faculty members and internal/external stakeholders.

Investigate questions and resolve problems for new Faculty related to their onboarding and Department Leads regarding their projects.

Identify, develop and maintain relations between the Department, hospitals and other community partners.

Initiate requests for Faculty member enrollment in university and hospital faculty training programs and sessions.

Participate in the setup of the Faculty member’s clinical practice in collaboration with hospital stakeholders.

Plan and coordinate training and onboarding schedules and provide informational resources/key contacts to ensure faculty members are well-prepared for their clinical/educational /research practice.

Initiate requests and follow up with stakeholders and hospital partners for faculty equipment, supplies, office space and materials.

Prepare and write welcome announcements and communications for sharing with internal and external stakeholders.

Initiate requests and follow up with relevant departments to facilitate access to university and hospital resources for new clinical faculty, including facilities, systems, and technology.

Offer support in relocating to the area, including assistance in providing real estate contacts and resources, community orientation, and local services.

Assist with questions related to provincial programs (i.e. OHIP)

Assist new clinical faculty members in integrating into the local community by providing information about the area's amenities, cultural offerings, and recreational opportunities.

Organize orientations or tours to help faculty members become acquainted with the University and Hospital sites.

Create detailed and tailored training and onboarding plans for new clinical faculty members, ensuring a comprehensive understanding of institutional policies, procedures, and expectations.

Solicit feedback from new clinical faculty regarding their onboarding experience, seeking opportunities for continuous improvement.

Initiate and maintain regular check-in meetings with Faculty members to systematically monitor their transition progress, proactively address challenges that arise, and collaboratively resolve issues in consultation with relevant stakeholders.

Participate in the development and implementation of projects, work methods and procedures as it relates to Faculty onboarding.

Participate in working groups with Hospital partners to make recommendations regarding the Faculty onboarding processes that fall outside of the department.

Implement improvements to the department onboarding process.

Make recommendations and seek approval from the Director of Administration regarding substantial changes to the process.

Curate and create resource materials, including welcome kits, handbooks, and online guides, to support new clinical faculty members in their integration and onboarding journey.

Develop and write standard operating procedures and establish guidelines for Faculty onboarding and development.
-
Liaise with various departments to ensure a cohesive onboarding process that covers all necessary aspects of faculty integration, including re-establishing and refining onboarding processes.

Ensure that all required documentation, such as immigration documentation, employment contracts, and compliance forms, are accurately completed and filed according to established procedures.

Identify and facilitate opportunities for professional development to support faculty members' growth in their respective fields.

Promote further Faculty learning opportunities and leadership development by sharing learning and development offerings from University and Hospital stakeholders.

Provide urgent support and assistance to new clinical faculty members facing unexpected challenges or crises, and problem-solve to ensure timely resolution.

Stay informed about industry best practices, trends, and changes in immigration and relocation regulations, incorporating relevant updates into the onboarding process.

Facilitate meetings with various individuals including both University and Hospital stakeholders and groups, such as introduction and welcome meetings for new Faculty, as well as meetings surrounding Faculty onboarding processes and training.

Write a variety of documents including, but not limited to, reports, correspondence, meeting agendas and meeting minutes.

Coordinate/assist with special projects as assigned by the Director.
