Position Overview

The Executive Assistant will perform a wide range of administrative duties, ensuring the effective and efficient day-to-day operation for the General Manager of the Cabot Cape Breton golf resort, who also serves as Regional Vice President (Americas) of the Cabot Collection.

The Profile:

The Executive Assistant to the General Manager / Vice President is an experienced and discreet individual with an ability to juggle and prioritize multiple tasks at once.

Key Responsibilities

  • Support the General Manager/Vice President in managing his calendar with a deep understanding of key priorities and managing his time accordingly.

  • Manage the coordination of the GM/VP’s day-to-day activities including but not limited to:

    • Arranging in-person meetings, conferences, and video conferences involving multiple internal/external participants
    • Making all logistical meeting arrangements (e.g., coordinating boardroom bookings, travel arrangements and distributing related materials prepared by the GM/VP).
    • Responding to General Manager’s emails on his behalf based on guidance provided
    • Any personal support required to fulfill other obligations
  • Provide active administrative support for the General Manager/Vice President both in-person in Inverness and remote

  • Manage the GM/VP’s expenses in coordination with his personal accountants

  • Occasionally support senior management with projects and administrative tasks

  • Liaise with our Home Office (Toronto) team on a variety of initiatives and projects

  • Identify and recommend methods to improve administrative systems and business functions to maximize office efficiency and effectiveness.

Preferred qualifications and skills:

  • 5+ years of experience as an Executive Assistant, Senior Administrative Assistant, or similar role, preferably in luxury hospitality, resorts, private clubs, or high‑end service environments
  • Exceptional organizational, time‑management, prioritization and multitasking abilities
  • Meticulous attention to detail
  • Strong written and verbal communication skills
  • High level of discretion, emotional intelligence, and professionalism
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with hospitality systems is an asset
  • Ability to work flexible hours as required by resort operations and events

Requirements of the role you should be aware of:

  • Based on the nature of our business and the service we provide to our guest, to work with us, you must consent to a criminal background check as a condition of employment and an additional criminal background check every two years.
  • This is a high-trust position which will include the management of extremely confidential and sensitive materials, including financial, personal and human resource related information. Discretion is to be maintained at all times.
  • As a seasonal resort business, you can anticipate a schedule that will involve day, evening, night, and weekend work.
