This entry-level role reports to the HR Catalyst and has serious growth potential. You will provide administrative support across a broad range of HR activities, including recruitment, training, benefits, compensation, policy development, meeting facilitation, HR data management, office logistics, and general client support.

Our work requires a high level of accuracy, organisational ability, multitasking, self-direction, tact, confidentiality and working within tight deadlines.

Key Responsibilities:

  • Providing general HR administrative support, including, but not limited to, creating and maintaining paper and electronic employee files, job descriptions, HR policies and processes, termination letters, employment verification letters, financial tracking, and filing of relevant documents.

  • Supporting the HR Catalyst and clients with all manner of confidential employee matters. while ensuring you maintain the utmost level of professionalism and confidentiality.

  • Acting as a liaison and first point of contact with internal and external customers, clients, and team members, interacting with them in a professional and timely manner.

  • Managing the President’s professional and personal calendars, including meeting requests, coordinating appointments, and ensuring everything runs in a smooth and timely manner.

  • Preparing meeting minutes and agendas for client meetings, team huddles, and project planning.

  • Updating employee data as required within human resource information systems (HRIS), benefits portals and other systems.

  • Investigating innovative HR service delivery methods.

  • Working to understand our clients' business goals to identify and implement proactive HR solutions.

  • Identifying opportunities to improve our service focused on effectiveness and efficiency, as well as simplifying processes.

  • Assisting with resume and cover letter writing and mock interviews.

  • Promoting Real HR through social media management and newsletter writing.

  • Recruiting activities, including posting jobs, screening resumes, phone screens, interview booking, reference checks, offer letter drafting, etc.

Qualifications

Must-Have:

  • Working on a college diploma or university degree in the field of Communications, Business or (preferably) Human Resources.

  • HR administration experience an asset.

  • Advanced working knowledge of Microsoft Suite (Word and Excel in particular).

  • Strong working knowledge of HR best practices, including federal and provincial legislation.

  • Experience working with a variety of HRIS systems, managing employee data, and paperless processes.

  • A positive, upbeat, and resilient attitude with a willingness to work out of scope.

Nice-to-Have:

  • Currently working towards their CPHR designation.

  • Strong working knowledge of various communication software, including Trello, Slack, Microsoft Teams, ZOOM, and Google Meet.

  • Demonstrated ability to handle multiple tasks, frequent interruptions, and prioritise workload effectively.

  • Ability to handle confidential information with integrity and professionalism.

  • Strong understanding of client relationship management and industry best practices.

  • Ability to work independently or in a team environment.

  • Promotes professionalism, integrity, quality, and teamwork in all interactions internally and externally.

  • Outstanding critical thinking skills and the ability to apply pragmatic solutions to hairy HR problems.
