As we continue to grow, we’re looking for a Project Coordinator who can help keep our operations organized, connected, and running efficiently.

Position Summary

The Project Coordinator plays a key role in supporting our project teams by coordinating planning activities, managing administrative functions, and ensuring clear communication between field operations, head office departments, and our clients.

Based in Cranbrook, BC, this role works closely with operations leadership and project teams. The position is essential in maintaining the organization, communication, and documentation that allows our projects to run smoothly and efficiently.

Location & Schedule

This position is based in Cranbrook, BC, working Monday through Friday from 8:00 a.m. – 5:00 p.m. Occasional pre-approved overtime or schedule adjustments may be required during peak project activities, such as payroll processing weeks or major project milestones.

How You’ll Contribute

Project Coordination & Planning

  • Coordinate project planning activities including scheduling of personnel, equipment, and materials
  • Support project communication between field teams, management, and clients
  • Assist with project meetings, documentation, and progress tracking
  • Attend client and internal project meetings when required
  • Conduct occasional site visits to support project teams and gather information

Project Administration & Reporting

  • Manage daily project time and progress entries
  • Support project cost tracking including invoicing preparation, purchase order monitoring, and review of project tracking reports
  • Review and assist with time entries and project billing reports
  • Maintain project documentation and ensure records are organized and accessible

Safety, Compliance & Documentation

  • Coordinate with the Safety team regarding PPE requirements and safety supplies
  • Assist Safety and HR departments with document control including scanning and electronic filing of training and incident records
  • Assist with coordination of employee training including equipment checkouts, Worker Performance Audits (WPA), Operator Skill Verifications (OSV), and certification renewals

Personnel Coordination

  • Coordinate staffing needs with operations management and communicate requirements to HR through Personnel Requisition forms
  • Maintain communication with HR regarding employee leave, attendance, or policy-related concerns

Additional Duties

  • Perform other administrative and coordination tasks as required to support operations and project success

What You Bring

  • A proactive mindset with strong initiative and a positive attitude

  • Excellent communication skills with the ability to work effectively with internal teams, field crews, and external clients

  • Strong organizational, time management, and prioritization skills

  • Ability to manage multiple tasks and deadlines in a fast-paced environment

  • Strong computer skills including Microsoft Word, Excel, Outlook, and Teams

  • Experience preparing reports and organizing project documentation

  • Working knowledge of mining and/or civil construction operations is considered an asset

  • Ability to follow and provide clear written and verbal instructions

  • High level of integrity, professionalism, and accountability

  • Consistent attendance and punctuality

Requirements

  • Valid Class 5 Driver’s Licence with a clean driving record

  • Industry-related certifications may be required depending on project need
