You in this role The Project Coordinator, Capacity Development - Climate-Ready Plans and Processes provides direct operational assistance to a dedicated unit working on Capacity Development for the Climate-Ready Plans and Processes team within the Green Municipal Fund as well as providing support to the unit’s team to design, coordinate and implement cross-unit initiatives resulting in greater organizational efficiency. The Project Coordinator supports the development and delivery of programming to support Green Municipal Fund (GMF) capacity building and knowledge objectives; helps mobilize knowledge through both peer-to-peer and broad reach learning activities; and uses and develops innovative methods for knowledge transfer, brokering and dissemination. The Project Coordinator conducts research, offers administrative and logistical support, reviews and analyses project reports, and supports the development and delivery of information resources and learning activities.

What you’ll be doing

  • Supports the development and delivery of small group peer-to-peer learning and broad reach learning activities within GMF’s Local Leadership in Climate Adaptation initiative.
  • Supports municipal peer learning programming: both learning activities (e.g. in-person and online trainings) and membership management (inquiries, recruiting and on-boarding new members, etc.).
  • Supports the development and delivery of knowledge tools, training materials and information resources (e.g. guidebooks, case studies, training materials).
  • Provides comprehensive and efficient project management support, including monitoring of project management platform (Asana).
  • Extracts and analyzes internal database information to inform knowledge programming and supports the development and monitoring of their unit’s annual performance and develops reports in Power BI.
  • Establishes and maintains relationships with third parties/vendors supporting contract implementation.
  • Coordinates and supports meeting and event logistics, including creating calendar invites, booking Zoom, taking meeting minutes, recording external stakeholder engagement in central database, coordinating logistics for staff and external stakeholder meetings/retreats.
  • Documents standardized operating processes and develops training materials, and other documents as needed to enable successful implementation of new processes, workflows and systems. The incumbent works with their peers in other units to validate the processes gaining buy-in and support for implementation.
  • Coordinates team activities (scheduling of weekly/quarterly team meetings, planning retreats, coordination of team building activities, booking of rooms/venues, maintaining rolling agenda, note taking, file management, software subscriptions, etc.).
  • Reviews and analyzes Climate-Ready Plans and Processes-funded initiatives to identify best practices and lessons learned for knowledge sharing and capacity building, and conducts interviews as needed.
  • May be called upon to undertake projects or other duties as needed.

You Bring

  • University degree in urban planning, climate change, social sciences, political science, environmental studies/environmental science, environmental/civil engineering, information/project management or equivalent life experience.
  • One to three (1-3) years’ experience in conducting research, developing written materials for a professional audience and coordinating the delivery of learning activities (in person and/or online).
  • Familiarity with GMF program and the LLCA initiative
  • Understanding of the structures, machinery and function of municipal government in Canada; and the interests of municipal governments related to climate change adaptation.
  • Proficient in the use of Microsoft Office software suite. Knowledge and use of Zoom, Asana, PowerBI, CRM, and SharePoint an asset
