Salary range for the position is $67,861 to $97,550. Interior Health establishes salaries within the minimum and maximum of the salary range based on consideration of the qualifications, experience of the applicant, and an internal equity review of the salaries of other employees. How Will You Create An Impact The Coordinator, Medical Administration, within an assigned budget, supports the efficient and effective administration of the support functions to medical staff throughout Interior Health (IH). The Coordinator provides day-to-day support and ongoing performance management of the Medical Administrative Assistants (MAAs) to the Chiefs of Staff and the Executive Medical Director Administrative Assistants (AAs) located across IH sites according to IH policies and procedures, provincial policies, and IH Medical Staff Bylaws and Rules.
The Coordinator leads within a complex matrix environment which includes an extensive geography, physicians who provide services as independent contractors as well as senior leaders within IH, other Health Authorities, and the Ministry of Health. The Coordinator also effectively participates as a member of the Medical Affairs team fostering ongoing collaboration, communication, and integration.
In alignment with IH’s Occupational Health & Safety Program, employees shall adhere to all Occupational Health and Safety policies and procedures at all times and attend all required training. Employees are responsible to report any identified hazards, unsafe conditions or incidents to your manager or supervisor immediately.
What Will You Work On
- Implements priorities for medical administrative services across IH and organizing workflow in order to meet the needs and/or requirements of all Executive Medical Directors (EMDs), Chiefs of Staff (CoS) and Department Heads within the context of changing environments.
- Responsible for medical administrative staff human resources management including recruitment and selection.
- Responsible for day-to-day supervision of work assignments, grievance management, and determining and planning for staff training needs.
- Establishes goals, objectives, and performance standards for medical administrative services and staff; evaluates staff performance and directing corrective or disciplinary actions, up to termination, if necessary.
- Leads medical administrative services teamwork and engagement.
- Collaborates with and provides direction to the AAs and MAAs with a focus on integrating, coordinating, and standardizing portfolio activities related to the IH strategic plan and the Medical Affairs strategic plan including the operationalization of these plans.
- Builds and maintains relationships with management and staff within IH and other key partners and other interested parties (public and private) for the purpose of coordinating various initiatives and projects.
- Implements policies and procedures for records management to meet Medical Administration needs ensuring they are aligned with IH policies.
- Provides guidance and support to EMD Administrative Assistants and Medical Administrative Assistants with all aspects of physician support.
- Advises medical staff leaders of upcoming changes that may affect medical staff members.
- Assists with the development of appropriate tools for newly developed processes.
- Travels to IH sites to provide on-site guidance, meetings, and performance management to staff members whose primary work location is at a different site than the Coordinator’s primary work location.
- In collaboration with the Manager, Medical Administration, Credentialing & Privileging and Analyst, Medical Affairs, develops and maintains processes to ensure data quality and accuracy within all systems related to Medical Staff Resource planning.
- Provides user support and training as required for Medical Staff Position Control Numbers (PCNs), Medical Staff Resource Planning (MSRP), and Medical Staff Impact Analysis (MSIA) system processes.
- Performs other related duties as required.
