Strathcona County is seeking a highly organized and service‑oriented Business Support Administrator to provide comprehensive administrative and operational support within Legislative, Legal and Procurement (LLP). This role plays a key part in supporting the Director, Managers, and departmental leadership by ensuring effective coordination, financial tracking, records management, and administrative operations across the department.
Reporting to the Director, Legislative, Legal and Procurement, this position requires a high level of discretion, sound judgment, and the ability to manage competing priorities in a fast‑paced, politically sensitive environment.
Key Responsibilities:
- Provide senior administrative support to the Director and management team, including scheduling, correspondence, records management, and preparation of materials
- Draft, format, and manage correspondence, reports, briefing notes, and departmental documentation
- Coordinate department calendars, meetings, and agendas; prepare meeting materials and track follow‑up items
- Process and monitor department budgets, purchase orders, invoices, and expense claims
- Track expenditures, reconcile financial records, and support budget monitoring and reporting
- Coordinate with Finance Partner on reserve funding requests and financial tracking
- Support department planning, reporting, and tracking of corporate initiatives and performance measures
- Assist with records retention, file management, and compliance with corporate policies and legislative requirements
- Support procurement and contract administration processes, including tracking, documentation, and compliance
- Act as a key point of contact for internal and external inquiries, providing accurate information and professional service
- Support departmental communications, including document coordination, distribution, and tracking Build effective working relationships with internal teams, external partners, and the public
Qualifications and Skills:
- Post‑secondary specialized training/certificate plus 5 years related experience
- Public-sector experience considered an asset
- Demonstrated experience supporting senior leadership and managing confidential and sensitive information
- Strong financial administration experience, including budget tracking, purchasing, and invoice processing
- Proficiency with Microsoft Office applications (Word, Excel, Outlook, Teams); experience with enterprise resource planning systems (ERP) is an asset
- Exceptional organizational skills with the ability to manage multiple priorities and tight deadlines
- Strong written and verbal communication skills with excellent attention to detail
- High degree of professionalism, discretion, and political awareness
- Ability to work independently while contributing effectively within a team environment
- Sound judgment, problem‑solving skills, and adaptability in a dynamic work environment Strong customer service orientation with the ability to build positive working relationships
