About the Role
We are seeking a detail-oriented and customer-focused Sr. Associate, Operations Management to support our Talent Acquisition (TA) operations function. In this role, you will drive operational excellence across the end-to-end recruitment lifecycle—ensuring a seamless candidate experience, efficient processes, and high data integrity.
As a key partner to Talent Advisors, Hiring Managers, and cross-functional teams (HRIS, Compensation, IT, Legal), you will coordinate recruiting activities, manage systems and workflows (e.g., Workday), and support continuous improvement initiatives. This is a fast-paced, high-impact role ideal for someone who thrives in a service-oriented, process-driven environment.
What You’ll Do:
- Coordinate and manage end-to-end recruitment operations, including interview scheduling, offer administration, and onboarding coordination.
- Partner with Talent Advisors (5–8) to ensure candidates move efficiently through hiring stages.
- Serve as a primary contact for candidate communications, ensuring a high-quality candidate experience.
- Administer recruitment processes in Workday and related HR systems, ensuring accurate data entry and tracking.
- Initiate and monitor background checks, immigration/sponsorship, relocation, and travel arrangements.
- Identify and resolve candidate or stakeholder escalations in a timely manner.
- Perform data audits and reporting to identify trends and improve data accuracy.
- Participate in process improvement, automation testing, and TA operations projects.
- Support additional operational activities such as contractor conversions, reporting requests, and program coordination.
Basic Requirements:
- Post-secondary education (degree or equivalent).
- Typically requires 2+ years of relevant experience in recruitment coordination, HR operations, customer service, or administration).
- Experience supporting high-volume coordination or operational workflows.
- Strong proficiency in Microsoft Excel (intermediate).
- Excellent communication skills in English (written and spoken).
- Demonstrated ability to manage multiple priorities in a fast-paced environment.
Preferred Skills/Experience:
- Experience with Workday Recruiting, scheduling tools (e.g., Paradox/GIA), CRM, or ATS platforms.
- Exposure to Talent Acquisition, HR Operations, or Recruitment Coordination.
- Experience supporting distributed teams or multiple geographic locations.
- Strong analytical mindset with experience in data quality, reporting, or process optimization.
- Ability to collaborate cross-functionally with HR, Compensation, IT, and business stakeholders.
- Bilingual (English/French) considered an asset.
Work Environment & Requirements:
- Hybrid: Candidates must work onsite 3 times per month (Mississauga, ON or Montréal, QC).
- Must be flexible with working hours to support distribution centers across multiple Canadian locations (e.g., BC, AB, MB, ON, QC, NB, NL).
- General office environment with standard computer-based work.
- No regular travel required.
