Executive Office Manager

Salary Range: $75,000 - $85,000
Today is the day to boost your career! Pinchin is seeking an Executive Office Manager to join our team in the Richmond, BC office.
Reporting to the Executive Vice President, the Executive Office Manager provides high-level administrative and office management support, ensuring smooth and efficient operations for a mid-size team. This role combines executive assistance with office management responsibilities, requiring exceptional organizational, communication, and leadership skills. Proactive decision-making is essential in this role, as you will be expected to anticipate needs, identify opportunities for improvement, and take initiative to resolve challenges before they arise.
A Day in the life of an Executive Office Manager at Pinchin:
- Manage and maintain the Executive Vice President’s schedule, including appointments, meetings, and travel arrangements.
- Prepare reports, memos, presentations, and other documents as required.
- Act as a liaison between the executive office and other departments to ensure effective communication and collaboration.
- Manage confidential information with discretion and professionalism.
- Plan and coordinate internal and external meetings, events, and conferences.
- Anticipate future tasks and commitments and ensure preparedness.
- Supervise a team of 5 staff members in various duties including, but not limited to reception duties, procurement and organization of office, kitchen, safety, and field supplies.
- Maintain a clean, organized workspace, kitchen area, supply room and other common office areas.
- Collaborate with suppliers, vendors, and the Landlord to effectively manage office requirements, supplies, and security.
- Oversee office security protocols, including monitoring access, managing visitor logs, and coordinating with security as needed.
- Coordinate new employee documentation prior to orientation in collaboration with Head Office, People & Culture, and Operations.
- Provide administrative support to Health and Safety and Social Committees.
- Support company-wide initiatives and provide assistance to local Management and staff.
- Present a positive image of the company, internally and externally.
- Assist with special projects and other duties as assigned
What you bring to the Pinchin team:
- Diploma or Degree in Business Administration, Office Management, or a related field.
- Experience supporting senior executives.
- Demonstrated supervisory skills; experience with providing guidance to team members
- Experience in a professional office environment.
- Strong written and oral communication skills.
- Demonstrated ability to make proactive decisions and take initiative.
- Capable of managing priorities and performing multiple tasks in a fast-paced setting, while balancing urgent calls and coordinating responsibilities for multiple offices.
- Demonstrates outstanding interpersonal skills and maintains a positive, service-oriented attitude.
- Proficient with Microsoft Office Products (Word, Excel, PowerPoint, and Outlook).
