Position Description:
The Reception Assistant ensures the proper functioning of the reception operations using the tools available and the procedures in place. The position requires confidentiality and data protection be respected at all times, especially when dealing with external calls and welcoming visitors. The receptionist must be present during the opening hours from 8 a.m. to 5 p.m. and be punctual (am, pm, lunch and breaks).
This person will be required to move around throughout the day (outside of the front desk) for various tasks on all floors – possibly assisting the team with coffee services and, if necessary, placing coffee/beverage orders and providing support to the facilities management team for related tasks.
Your future duties and responsibilities:
- Serve as the company's first point of contact and promote a professional image at all times by greeting, registering and orienting members and visitors upon arrival.
- Answer phone calls (internal and external) and provide basic information if necessary, transferring calls to the appropriate person/department or taking a message.
- Manage meeting room bookings using Outlook and provide a timely resolution in the event of a conflict by liaising with Administrative Assistants.
- Provide CGI members and visitors with access cards based on security procedures in place and ensure follow-up.
- Maintain records including visitor logs, human resources and membership lists; etc.
- Other duties include: scanning documents, filing and archiving important documents online, creating service tickets (with the building or other vendors), assisting administrative assistants with certain administrative tasks if time permits, etc.
- Responsible for Conference Center (help with reservations, provide support to events, catering, check the cleanliness of the rooms, etc.).
- Provide support to 2 receptions on a daily basis (for breaks and lunch) and cover at the 2 receptions during vacations or absences
- Provide support to the Facility Management team
Required qualifications to be successful in this role:
- Experience in business administration is an asset
- Ability to organize, multi-task and prioritize (an asset)
- Comfortable in a corporate environment and with senior management
- Experience with customer service and teamwork
- Resourcefulness and a good ability to solve problems in a fast-paced environment
- Bilingualism required both orally and in writing in French and English
- Good command of Microsoft Office tools (Word, Excel, PowerPoint)
