Weeneebayko Area Health Authority (WAHA) is looking for an experienced professional to fill the key role of Administrative Assistant.

What We DoThere has never been a more exciting time to be at WAHA. We are an integrated health system providing the full continuum of care to the six communities of the western James Bay coast with over 500 employees, physicians, and partners in care. As a health authority, you will work in a unique setting where you have the opportunity to care for patients in all phases of their life journey, in all areas of their health experience. Who You Are

  • Comprehensive knowledge of the Faculty of Health Sciences and Weeneebayko Area Health Authority, university and hospital policies, procedures, financial/computing systems and the organizational structure
  • Ability to work in a confidential, high-pressure environment and to independently make decisions and set priorities to juggle many conflicting tasks
  • Ability to respond diplomatically and sensitively using good judgment in difficult situations, and to interact professionally with all levels, internal and external to the University
  • Advanced administrative skills. Proficient in the use of word processing, spreadsheet and database software. Ability to adapt to the implementation of new technologies
  • Handle and/or refer incoming correspondence and queries to the appropriate individual for follow-up, particularly those which are time or content sensitive

What You’ll Do

  • Provide administrative support to the Manager by maintaining calendars; prioritizing, scheduling, coordinating, arranging and rearranging, appointments and meetings; distributing confidential correspondence, documents and reports; managing files and gathering and compiling data as required. Processing, screening, and directing incoming and outgoing mail and email
  • Respond to queries on a wide variety of issues; re-direct queries as necessary
  • Maintain an effective system to bring forward necessary documents and correspondence for reply, agenda items for meetings, reports for comment or dissemination
  • Arrange meetings, conferences and events. This includes advertising events, room reservations, teleconferences, organizing catering, dinners and receptions, paying travel claims, and expenses of invited guests
  • Aid in administering special projects; help plan and implement the yearly calendar of events; create and maintain databases for events

What You Bring

  • University degree or three-year post-secondary education in office administration
  • Previous (3 to 5 years minimum) of relevant experience providing administrative support at a senior level in a demanding office environment
  • Valid Driver’s License
  • Ability to communicate in the local native Cree language is an asset

Salary: $44,791.50 - $55,984.50

We serve over 12,000 people through hospitals in Moose Factory, Fort Albany, and Attawapiskat, and a health centre in Moosonee. We also operate regional outpatient programs, as well as paramedicine services throughout the region, including in Kashechewan and Peawanuck. We are affiliated with Queens University.
