About the role
The Executive Receptionist is responsible for ensuring that all activities at the front desk operate seamlessly, using the available tools and standard procedures in place.
The job requires that confidentiality and data protection be respected at all times, especially when dealing with external calls and visitors. The front desk should be manned according to the defined operation hours.
Your future duties and responsibilities
.Serve as first point of contact for the company and expected to promote a professional image at all times by greeting, welcoming, registering and directing members and visitors as they arrive
.Answer all incoming telephone calls (internal & external), provide basic information as needed, transfer to appropriate person or service or take message
.Manage meeting room bookings using Outlook and provide timely resolution when conflict arises by liaising with the various Executive Assistants
.Help coordinate logistics for internal / external meetings, events & activities held on-site, along with EA's on an ad-hoc basis
o Book meeting room (s)
o Provide secure wi-fi access to guests as requested
o Liaise with the IT team to ensure coverage and tools are in place
o Help with catering orders
o Help set up the meeting rooms and help clean them after usage
.Provide CGI members or guests access cards according to the security procedures in place and ensure follow-up
. Liaise with the Real Estate and the building owner's concierge teams for needs and logistics of the 25th Floor (executive floor)
.Responsible for placing stationary orders for all members on the 25th floor and centralizing in a secure area. This includes accuracy of orders, coordination with purchasing, follow-up and receiving of orders
.Keep updated records such as visitor registers, HR & members listings, etc.
.Other tasks such as but not limited to: scan various documents, electronically file and archive important documents, help EA's with some administrative tasks if time permits, etc.
Working hours (25 hours/week) from Wednesday to Friday between 8am and 5:30pm
Required qualifications to be successful in this role

At least two years of relevant experience in a similar role
-
Hold a college diploma in a field related to administration
-
Be fully proficient in French and English, both spoken and written

Demonstrate strong knowledge of the Microsoft Office suite

Show excellent organizational skills, attention to detail, and the ability to manage multiple tasks while prioritizing effectively
-
Be comfortable working in an executive or corporate environment
CGI is providing a reasonable estimate of the pay range for this role. The determination of this range includes factors such as skill set level, geographic market, experience and training, and licenses and certifications. Compensation decisions depend on the facts and circumstances of each case. A reasonable estimate of the current range is $31 252–$62 504. This role is an existing vacancy.
