Volunteer Coordinator and Human Resources Generalist

Full-Time, Contract (End Date: December 31, 2026)

The Volunteer Coordinator & Human Resources Generalist develops, implements and maintains our organization's Volunteer Program to ensure that the objectives of the organization are appropriately fulfilled through the contributions of volunteers. This dynamic role also offers the opportunity to perform some Human Resources Generalist functions to support the work of our People Services Department.

WHAT WE'RE OFFERING:

  • What you'll be making - $24.93 to $28.69 per hour (Specialized Admin Grid)
    • The above are initial rates; with grid increases as per policy
    • Internal staff members will be placed on the appropriate grid based on their current rate of pay, up to Level 8 of the grid (see Intranet Policy - bit.ly/CompensationPolicyPg16)
  • When you'll work - 70 hours over two-week period; Monday-Friday 8:30am-4:30pm
  • What your benefits will be – 9% in lieu of benefits

HOW YOU WILL BE MAKING A DIFFERENCE:

Planning & Development:

  • Generates appropriate volunteering opportunities and develop role descriptions based on the needs of the program and the capacity within the organization
  • Connects with community partners to encourage volunteerism from a variety of sources

Recruitment:

  • Liaises with various programs within CMHA TVAMHS to support their requests for volunteers.
  • Promotes opportunities for volunteers using a variety of recruitment tools and social media in a timely manner.
  • Liaises with appropriate community partners to develop partnerships and raise awareness of volunteer opportunities at CMHA TVAMHS
  • Participates in local events that promote volunteer opportunities i.e. volunteer fairs, universities, libraries, etc.
  • Develops and implement unique opportunities, as requested, to attract local community and volunteer partnerships (e.g. networking opportunities)
  • Acts as the point of contact and provide information to potential volunteers and community partners
  • Assists with recruiting, interviewing and screening volunteers and determine suitability for roles
  • Completes reference checks, ensure all documentation (including current Police Vulnerable Sector Check) is complete, and all files are current for volunteers and placement students
  • Liaise with program Coordinators and Managers to ensure that volunteers are appropriately matched
  • Updates and manages all virtual platforms (i.e. Constant Contact, agency website content, virtual volunteer application form, database etc.)
  • Ensures that no volunteer roles violate the parameters of the collective bargaining agreement.
  • As requested, assists Human Resources Generalists with employee recruitment, screening and follow-up.

Training & Orientation:

  • Facilitates orientations for volunteers on a regularly scheduled basis or as needed by program area
  • Assists with developing appropriate trainings for volunteers; delivers trainings, as needed
  • Works collaboratively with Human Resources Generalists to develop volunteer and manuals, including orientation manuals
  • Develops staff information sessions as necessary to explain and promote the volunteer program
  • Assigns virtual trainings modules (i.e. health and safety, AODA, etc.) to all volunteers
  • Ensures that files are accurately maintained

Coordination:

  • Works collaboratively with programs to develop program expectations, timelines, etc.
  • Monitors volunteer inbox; respond to inquiries in a timely manner
  • Coordinates and connect matched volunteers with staff supervisors
  • Assists with student evaluations, as needed
  • Monitors, supports, and motivates volunteers
  • Facilitates changes for matches or placements, as requested or needed
  • Maintains a volunteer database and undertake any other administrative functions as necessary
  • Problem-solves with staff supervisors, as needed
  • In collaboration with the Manager of Human Resources, responds to challenging volunteer issues and participates in the resolution of such issues
  • Assists People Services Team with various projects and perform other duties as required

Recognition:

  • Develops initiatives to support ongoing volunteer engagement
  • Celebrates volunteerism by organizing recognition events
  • Develops initiatives to recognize volunteer “milestones”
  • Seeks out volunteer recognition awards through established recognition awards programs (ie. federal, provincial, municipal, etc.) and assist in developing nominations to recognize volunteers
  • Attends department staff meetings and event-organizing meetings, as required

Evaluation:

  • Gathers statistics on numbers of volunteers placements, as well as documented hours for reporting purposes
  • Maintains & reports accurate records of student placements and quarterly statistics.

WHAT YOU'LL NEED TO APPLY:

Police Vulnerable Sector Check Requirements

Successful candidates must have a Police Vulnerable Sector Check completed in the last six months. Interested applicants who reside in the City of London and are in need of a Police Vulnerable Sector Check (PVSC) are encouraged to apply for one as soon as possible as PVSCs in the City of London are currently taking approximately 2 weeks to be processed and offers of employment cannot be made without receipt of a PVSC.

We require the following qualifications:

  • Post-secondary degree or diploma (Primary proof of credentials will be required during the hiring process, i.e. an original degree/diploma/certificate or official transcript; for ongoing education, an unofficial transcript will be accepted)
  • Valid Drivers Licence and access to a vehicle with adequate insurance to carry out job duties (required)
  • Clear, current Police Vulnerable Sector Check (PVSC)
  • Demonstrated ability to attend work regularly

We prefer the following qualifications:

  • Certificate in volunteer management, community development or project management
  • Human Resources Management Certificate
  • Experience working with individuals with lived experience
  • Three years’ experience in a similar role preferred
  • Experience developing formal partnerships and collaborating with various community organizations, businesses etc
  • Experience using Raiser Edge, Microsoft office Suite: Word, Excel, PowerPoint, and Outlook, and using video and conference call platforms. Use of other online platforms, including Smartsheets, Volunteer Hub.
  • Task-orientated and reliable
  • Excellent organizational and time management skills
  • Ability to implement equity, diversity and inclusion frameworks to all work-related activities.
  • Able to work in a team environment
  • Experience in providing constructive, goal-oriented feedback
  • Previous experience in workshop or event planning an asset
  • Strong strategic and critical thinking skills
