We are currently accepting applications for a Part Time Property Service Administrator to join our Property Management Team in Duncan, BC. This position is 20–30 hours per week, Tuesday to Friday with shifts ending in the evening, and Saturdays during the day. Flexibility to work Sundays and long weekends when required, particularly during month-end periods, is necessary. Occasional travel to Nanaimo may also be required. The Property Service Administrator is responsible for leasing, administrative, cleaning, maintenance coordination, and customer service duties for our rental properties under the direction of the Property Manager. The ideal candidate will have a flexible schedule and thrive in a fast-paced environment.
What you will be doing:
- Foster a friendly and professional environment for residents, prospective tenants, service providers, and contractors while maintaining a high level of customer service;
- Provide exceptional customer service by ensuring all calls and messages are answered promptly; address resident issues and service requests within 24–48 hours;
- Participate in an after-hours on-call rotation for all properties and respond to emergencies as required;
- Show available suites to prospective residents and help maintain strong occupancy levels;
- Coordinate new move-ins, including booking elevator times;
- Perform move-out inspections and coordinate scheduling of maintenance and cleaning services to prepare for new tenants;
- Ensure proper physical maintenance of the building and surrounding property while maintaining health and safety standards;
- Conduct regular safety inspections of the building to identify and address potential hazards;
- Coordinate activities of on-site cleaners;
- Investigate equipment issues and coordinate repairs or maintenance as needed;
- Maintain cleanliness of the site offices and manage purchasing of office supplies and building cleaning supplies;
- Perform exterior maintenance duties, including garbage pickup, sweeping walkways, and light snow shoveling;
- Perform daily cleaning of the lobby and elevator, along with spot cleaning of common areas including parkade, gym, and dog washroom;
- Enforce building rules and issue notices of infraction to tenants when necessary;
- Perform other duties as required.
What you need to bring:
- 1-3 years’ experience in multi-residential property management;
- Completion of High School Diploma;
- Working knowledge of MS Word and Excel is required, previous experience with Buildum is an asset;
- Knowledge and experience working with Landlord Tenant Act;
- Knowledge and experience in building operations, building safety and fire safety requirements;
- Exceptional customer service skills. Ability to handle difficult tenant relations and contractor relationships with a high degree of professionalism;
- Clear and effective written and spoken communication skills;
- Strong prioritization skills with the ability to work independently and meet deadlines;
- Ability to think creatively when problem solving, proactively adapting to challenges;
- A high degree of professionalism and ability to maintain confidentiality.
Salary range for this position is $25.00 to $28.00 per hour.
