About the Role

A highly organized and adaptable Office Administrator to join their Toronto office and provide vital support across both office operations and senior team members’ administrative needs. What You’ll Do

In this role, you will:

  • Greet all visitors upon their arrival including staff
  • Oversee document management (legal/estate records, correspondence, scanning, filing)
  • Liaise with government agencies and external contacts for required documentation
  • Maintain naming conventions and manage templates for legal agreements and documents
  • Handle general office management (equipment, supplies, communication systems, courier services, building-related coordination)
  • Manage calendars, arrange meetings/events, and prepare meeting materials
  • Provide travel coordination (flights, accommodations, meals, itineraries, expense tracking)
  • Support senior staff with personal administration (scheduling, reminders, errands, receipts, timesheets, correspondence, claims, payments)
  • Ensure accuracy, confidentiality, and efficiency in all administrative processes

This is a front desk full-time permanent role that is vital in ensuring smooth daily operations.

What They’re Looking For

  • Minimum 3–5 years of experience as an Administrator in a professional office environment (e.g., bank, law office, accounting firm, post secondary education institution)
  • Strong organizational skills with excellent attention to detail
  • Ability to follow established procedures and detailed instructions
  • Proactive, reliable, enthusiastic, and driven with excellent communication skills
  • Someone employees can trust and feel at ease with, fostering a supportive and professional environment
  • Experience managing multiple priorities in a fast-paced environment
  • Comfort with CRM systems and databases
  • Intermediate user of Microsoft Office Suite. Willingess to complete an assessment.
  • Ability to exercise discretion, confidentiality, and sound judgment
