Position Description

SickKids has launched 'Project Horizon', a long-term plan for the renewal and expansion of the SickKids campus and the foundation for an integrated and seamless paediatric healthcare system. The goal of Project Horizon is to ensure that SickKids can continue to deliver top quality, specialized paediatric care by investing in the facilities and technology necessary to achieve its important mandate and maintain its status as the top paediatric hospital in the world. Project Horizon provides the opportunity to re-imagine and re-define a new and compelling future for SickKids. Project Horizon is a multi-year phased development project to transform the delivery of paediatric care, meet growth needs and replace aging, outdated infrastructure.

SickKids is seeking a Project Coordinator to be part of the Project Horizon - Early Works Project Team. The Project Coordinator with the technical and personal skills as well as construction knowledge, will support Sr Project Managers and/or Project Managers to deliver an integrated series of projects that comprise the Project Horizon Early Works scope of work.

The Early Works Project Team manages a complex series of phased construction projects and the relocation of programs as part of a highly coordinated execution plan. The Early Works projects will consist of renovations in the existing main campus block buildings, select floors in the new Patient Support Centre (PSC), the Peter Gilgan Centre for Research and Learning (PGCRL), off site leased space (525 University); as well as miscellaneous infrastructure upgrades and select demolition on campus.

Here's What You'll Do:

SickKids is looking for an enthusiastic and passionate individual that is committed to their goals within their role and will lead with a can-do attitude. Your role will require you to be an efficient individual with the capabilities of solving problems, either with the team or individually; with support from the Project Director as required. The Project Coordinator will support Sr Project Managers and / or Project Managers of the Project Horizon team on a variety of assignments, projects, tasks or initiatives. An effective Project Coordinator within this role will require to plan effectively and efficiently, ensure their work is coordinated and organized and not completed in a haphazard approach.

The Project Coordinator will provide support in the management, development and progression of project assignments from conception to final occupancy. Projects include, but not limited to: decanting, planning, renovations, coordination of shut down and / or by-pass procedures and other related work to ensure that project objectives, including schedule, budget are met. The Project Coordinator will also be independently assigned to manage minor projects/tasks from concept to final occupancy from time to time, depending on scale and complexity.

The role as Project Coordinator will particularly require an incumbent with proven communication skills, leadership, ambition, drive, team management and time management traits that would provide effective skills within your role to support projects and the team.

The Project Coordinator will work collaboratively with the Project Horizon ' Early Works Team, stakeholders, consultants, and other partner departments as required. The Project Coordinator will provide support and be accountable for all aspects of a project life cycle from project initiation, planning, implementation through to closure, ensuring that all deliverables are achieved.

The Project Coordinator shall have an understanding of healthcare planning, building sciences, design, infrastructure systems and construction practices. A good level understanding of construction contract law, standard design agreements within planning stages, construction management processes and procedures for facilities related work will be an asset within this role.

The Project Coordinator will be a direct report to the Project Director, Project Horizon Early Works, and will work closely with Sr. Project Manager(s), Project Manager(s) to support and oversees the coordination between the various disciplines of the project to ensure that the end product meets the user's functional requirements, the project schedule and project budget.

The Project Coordinator will support others on the team through all planning stages noted below:

  • Preconstruction
  • Preliminary Design Development (Schematic Design)
  • Contract Document Development (Design Development)
  • Implementation/Construction/Commissioning
  • Occupancy
  • Relocation/Move Planning
  • Project Close Out
  • Post Occupancy

Project Coordination - Involved in the following activities:

  • Scheduling and coordination of planning meetings with department representatives, consultants and required team members.
  • Coordinate reviews and evaluate user supplied information to ensure the produced documents are complete and capture the intent of the department's requirements.
  • Develop RFPs as required for Consultants and other vendors as required for the project.
  • Ensures that all contractors have appropriate documentation and approval to undertake the work.
  • Interface with contractors, consultants and building authorities during construction.
  • Maintain effective working relationships between all stakeholders, contractors, consultants and others on projects.
  • Provides support in the management/organization of project related documents in accordance with the procedures for document control/ filing as per Project Guidelines and Procedure Manual.
  • Ensures that responsibilities of Occupational Health and Safety Act and IPAC measures are met.
  • Participate in site inspections, chairs project and site meetings.
  • Coordinates between contractor and Plant Operations, all work pertaining to shutdowns and notices.
  • Identify project specific training requirements and discuss them with the appropriate SickKids Personnel.
  • Coordination of equipment, furniture and moves.
  • Ensures that all documentation related to the project is complete on and ongoing basis and at the end of the work and ready for archiving.
  • Witnesses selected tests and inspections necessary as conducted by Contractors.
  • Assists in project budget development, financial tracking and forecasting.
  • Developing tools, manuals, guidelines, policies, templates, forms and Intranet information to support departmental activities and processes.
  • Support to the Project Manager/Design leads (where applicable) and internal team members throughout the life of the project.
  • In some cases, the Project Coordinator may manage minor projects on their own depending upon size and complexity and/or work directly with the Project Director to support tasks under their discretion.
  • Interface with department representatives, stakeholders, contractors, other project managers or team members, vendors, independent inspection and testing agencies, legal counsel, consultants, and building authorities during design, tender and construction as required.
  • Builds effective relationships with project sponsors and is able to guide and influence decision making relative to project strategy, risk and outcomes with assistance from the Project Manager or Project Director.
  • Communicates project results to the Project Director, project sponsors, other project managers and key stakeholders, and makes recommendations to project stakeholders (as appropriate) regarding the long-term implementation of project initiatives based on learning gained during the project lifecycle.
  • Liaises with other teams and committees at SickKids.

Here's What You'll Need:

  • A post-secondary degree or diploma from a recognized University or College.
  • Experience in a Health Care facility, participating in planning/ construction/ renovation projects.
  • Experience working with Microsoft Office applications.
  • Demonstrated commitment and actions in advancing equity, diversity, and inclusion objectives.
  • PMP Certification or completion in a Project Management program is an asset.

Employment Type: Full Time, Permanent (35 hours/week)
