Role Description

CI3 is inviting expressions of interest for 5 Project Manager roles to support the planning and delivery of the CI3 Annual Leadership Series. This is a volunteer leadership role designed for individuals who want to contribute meaningfully to a growing leadership platform while gaining practical experience in project management, event planning, stakeholder coordination, community engagement, and leadership programming. The CI3 Annual Leadership Series includes three flagship editions: Future of Leadership: Exploring what leadership will require in a changing world. The Global Career: Helping professionals thrive across industries, cultures, borders, and systems of influence. Beyond the Competence Trap: Exploring why capable people get stuck and how they move from execution to visibility, trust, and leadership impact.

Project Managers will support one of the core workstreams required to plan and deliver these events. Responsibilities may include coordinating timelines, tracking action items, supporting speakers or authors, helping with sponsor and partner engagement, supporting event communications, coordinating logistics, improving participant experience, and helping ensure that CI3 events are delivered with professionalism, clarity, and impact. This role is ideal for people who are organized, reliable, thoughtful, collaborative, and interested in leadership development, professional advancement, community building, entrepreneurship, books, ideas, and meaningful event experiences.

Available Workstream Areas Selected Project Managers will be aligned to one of the following workstreams:

  1. Program and Experience Supports event structure, participant journey, Leadership Circles, agenda flow, speaker experience, and the overall quality of the summit experience.
  2. Authors, Speakers, and Faculty Supports coordination with speakers, authors, moderators, facilitators, and faculty contributors, including bios, headshots, communication, and briefing materials.
  3. Sponsorship and Partnerships Supports sponsor outreach, partner tracking, community access support, sponsor recognition, and relationship follow-up.
  4. Marketing and Communications Supports event promotion, LinkedIn content, email communication, speaker and author announcements, registration visibility, and community engagement.
  5. Operations and Event Delivery Supports venue coordination, registration, room setup, signage, supplies, author tables, book-signing flow, volunteer coordination, and event-day delivery.

Key Responsibilities Depending on the assigned workstream, responsibilities may include: Supporting the planning and delivery of CI3’s annual leadership events Coordinating project timelines, milestones, and action items Tracking workstream tasks and following up on deliverables Supporting communication with speakers, authors, partners, sponsors, volunteers, and participants Helping coordinate event logistics, including venue, registration, materials, signage, and room setup Supporting the delivery of Leadership Circles and participant experience activities Helping prepare planning documents, status updates, checklists, and follow-up notes Identifying risks, bottlenecks, and dependencies early Supporting post-event feedback collection, lessons learned, and continuous improvement Representing CI3 with professionalism, reliability, and care

Qualifications Ideal candidates will bring some combination of the following: Project management skills, including the ability to coordinate tasks, timelines, stakeholders, and deliverables Strong organizational skills and attention to detail Ability to follow up, keep work moving, and help resolve bottlenecks Strong written and verbal communication skills Comfort working with diverse professionals, speakers, authors, partners, and volunteers Interest in leadership development, professional advancement, community building, entrepreneurship, or events Experience in event planning, program coordination, communications, sponsorship, operations, or stakeholder engagement is an asset Experience with tools such as Google Workspace, Microsoft Office, Canva, Trello, Asana, Monday.com, or similar platforms is an asset Post-secondary education in project management, business, communications, leadership, or a related field is helpful, but not required Reliability, maturity, discretion, and a collaborative mindset are essential

Commitment This is a longer-term volunteer leadership role supporting CI3’s annual event cycle. Initial commitment: 12 months Location: Ottawa / Hybrid Event presence: In-person availability may be required for selected CI3 events Time commitment: Variable depending on event cycle and assigned workstream Planning activity will increase closer to each major CI3 event.
