Position Overview:
As a member of the Town of Canmore Finance team and reporting to the Property Tax Coordinator, the Tax & Utility Customer Service Representative is responsible for supporting the administration of municipal property tax, assessment, utilities, and assistance with the Civic Centre reception functions. This position works closely with the Tax and Utility Assistant and the Property Tax Coordinator. In this role, you may also be trained and asked to serve as a clerk for the Assessment Review Board. As part of this role, you will build on your customer service and organization skills. Primarily an administrative staff member, you will also provide front-line service to customers by phone, email and in person. The successful candidate will require strong computer skills, be well organized, have great attention to detail, and be an effective communicator.

Core Accountabilities:

Proficient with Microsoft Office programs (particularly Excel) and uses them to their full potential for email communication, calendars and meetings, report preparation, data collection and calculations, letters & mail outs, etc.

Has a general familiarity with the property tax and utility billing process as it relates to account management and payment transactions
-
Understands the billing and rate structure for property taxes and utilities

Answers customer inquiries by phone, email, or in person
-
Adds new customers to the municipal software and updates existing customer profiles
-
Is knowledgeable about Town of Canmore services
-
Follows established standard operating procedures for safety, customer service, financial transactions, and cash handling
-
Is knowledgeable about the software used in this role, including: Diamond Great Plains, Cityview, ArcGIS, SharePoint, and the most effective methods for entering and retrieving data
-
Assists with the filing and entry of the monthly payment plans
-
Assists with the accurate entry of title changes for tax roll and utility accounts
-
Maintains the integrity of the customer database information, including the issuance of usernames and passwords for the Virtual Town Hall

Maintains confidentiality of all client information
-
Anticipates sensitive issues and plans an appropriate strategy with the support of the coordinator
Qualifications:
-
While related post-secondary education would be considered an asset, you must have obtained a minimum of a high school diploma.

Prior experience with customer service along with superb organizational and communication skills, combined with an astute attention to detail will help you to be successful in this role!

You will have strong computer competency and demonstrate a high level of proficiency with Microsoft Office Suite (Word, Outlook, Teams, SharePoint), intermediate to advanced knowledge in Excel and database entry expertise.
Experience:
- Related experience in a financial and/or administrative setting – required
- Administrative experience in a municipal setting and/or with utilities – asset
- Experience providing customer service and working with people through a variety of media – required
- Proficiency with Microsoft office programs (particularly Excel), with the ability to independently create and edit a variety of documents and spreadsheets – required
- Aptitude for analytical and mathematical tasks – required
- Strong oral and written communication in English – required
- Organizational habits to understand, realistically plan for and meet deadlines, while adapting to changing demands and priorities – required
- Demonstrated ability to analyze, investigate, consider, and solve problems systematically – required
- Understands the importance of compliance within legislative boundaries, and how to work within those limits to achieve desired outcomes – required

Work Schedule: This position requires a 35-hour work week commitment, working from Monday – Friday during regular business hours from the Civic Centre location.
