About the role

IDEAL CANDIDATE

This is a meaningful role where you can make a difference every day for people living with inflammatory bowel diseases (IBD). Our ideal candidate is proactive, detail-oriented and thrives working in a small, entrepreneurial environment that is cause-driven and community oriented. The individual will need to exercise good judgment, create and maintain relationships with all levels and be able to balance multiple priorities. The ideal candidate has a can-do attitude and takes the initiative.

RESPONSIBILITIES

Executive Support

  • Establish and maintain processes to ensure the smooth operations of the CEO Office.
  • Completes administrative tasks for the CEO including managing calendar, expense reports, travel plans, itineraries and agendas.
  • Prepare briefing notes and track follow-ups from select high impact meetings.
  • Communicates with Board members, donors, staff, volunteers and government officials on matters related to the CEO's initiatives.
  • Prioritizes matters addressed to the CEO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral or response and follows up.
  • Ensures smooth communication between the CEO's office and internal departments; maintains credibility, trust and support with senior leadership staff.

Board Support and Liaison

  • Manage logistics for the Board and committee meetings, including scheduling, accommodations, travel, agenda and materials, drafting minutes and providing onsite and virtual assistance.
  • Establishes work-back schedules for the Board, AGM and Board committees.
  • Creates and maintains up-to-date tracking of all motions, reports and action items presented at the Board and committee meetings.
  • Ensures that By-laws, policies and procedures are followed and updated as required.
  • Coordinates the development and revision of foundational governance materials such as terms of reference, code of conduct, policies, etc.

Senior Leadership Liaison

  • Participates as an adjunct member of the senior management team including scheduling meetings and tracking action items.
  • Assists in coordinating the agenda of senior management team meetings, off-sites and all-team meetings.
  • Maintains a shared stakeholder engagement tracker for CEO and Senior Leadership Team.

QUALIFICATIONS

  • Post-secondary education required in a related field;
  • 5-7 years experience supporting C-Level Executives, preferably in a non-profit organization and a minimum of 2 years experience working with a board of directors;
  • Ability to build relationships with stakeholders, including staff, board members, external partners and donors;
  • Expert level interpersonal and communication skills; both oral and written;
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail;
  • Demonstrated proactive approaches to problem solving with strong decision-making capability;
  • Adaptable, resourceful team-player who can also be effective independently;
  • Proven ability to handle confidential information with discretion and demonstrate high level of customer / client service;
  • Knowledge of non-profit governance a strong asset;
  • French language skills are an asset; and
  • Ability to work a flexible schedule as some evening and weekend work is required.

  • Intro Call - a quick call with a member of the People team to discuss the role and learn who you are!
  • First Interview - 60 minutes to go over your background, the role and Crohn’s and Colitis Canada. Also, an excellent time for you to ask any questions you have.
  • Final Interview - 60 minutes for you to really demonstrate your skills by completing a task in advance and presenting to us, a chance to meet the team and your chance to interview us.
  • Offer - Ideally, this is the part where we make the offer, you accept, and we all celebrate!

Job Types: Full-time, Permanent

Pay: $60,000.00-$70,000.00 per year
