About Musqueam

We are traditional hən̓q̓əmin̓əm̓ speaking people. Today, we are a strong, growing community of over 1,300 members. We live on a small portion of our traditional territory, known as the Musqueam Indian Reserve, located south of Marine Drive near the mouth of the Fraser River. The name Musqueam relates back to the River Plant, the name of the plant is məθkʷəy̓. There is a story that has been passed on from generation to generation that explains how we became known as the xʷməθkʷəy̓əm (Musqueam) - People of the River Plant. We have always moved throughout our territory using the resources it provides for fishing, hunting, trapping and gathering. We remain distinct and our cultural practices are strong, despite the devastating impacts of residential schools, colonial laws banning our ceremonies, and other attempts to assimilate our people. Our lands and waters continue to support our cultural and economic practices while serving as a source of knowledge and memory, encoded with our teachings and laws. Position Summary

Reporting to the Lands Governance Director, the Lands Assistant provides administrative and clerical support for the Musqueam Lands Governance Office (MLGO). A primary responsibility is the organization and scheduling of the Land Code Committee and the Lands, Capital and Housing Committee. The Lands Assistant supports day-to-day office operations, including preparing invoices for various Committees and events, scheduling meetings and space bookings according to departmental need, and liaising with Community Members and Leasehold Members and directing them to the correct personnel within the team. Further, the Lands Assistant will assist with developing and implementing a file plan for the Lands Department, and begin the management of land-related records in compliance with Musqueam’s Records and Archives Management systems and the Musqueam Land Code.

Roles & Responsibilities

Administrative & Land Governance Support

  • Prepare official meeting minutes, meeting packages, and agendas for the Land Code Committee and other governance meetings, in accordance with Musqueam’s policies.
  • Coordinate room bookings and scheduling for departmental and cross-departmental meetings, and external stakeholder visitations.
  • Draft and archive invoices for Senior Management Committees, and other community consultations, workshops, and engagement events.
  • Assist with the event management for community consultations, workshops, and engagement events.
  • Assist with the preparation of briefing materials, correspondence, and Council submissions.
  • Assist in the preparation of reports, budgets, audits, and annual reporting requirements.
  • Coordinate travel arrangements when required.
  • Perform other related duties as required.

Records Management

  • Maintain and update the MLGO’s filing systems (physical and electronic) in alignment with Musqueam’s Records & Archives Management policies and classification systems.
  • Ensure records are securely stored, retrievable, and retained according to Musqueam retention schedules and archival standards.
  • Coordinate with Musqueam Archives/Records staff for transfer of inactive files and long-term preservation of records of enduring value.
  • Monitor file management practices, identify gaps, and recommend improvements to maintain consistency and accuracy across the Lands Office.
  • Support internal and community requests for access to records, ensuring compliance with confidentiality rules and Land Code provisions.
  • Provide orientation to Lands staff on file naming conventions, retention schedules, and classification standards used in Musqueam’s records system.

Knowledge, Skills and Abilities

  • Post-secondary education or training in administration or reception or a related field; equivalent work experience will be considered.
  • Strong degree of independence. Adept at identifying potential solutions and proposals with minimal oversight. Must be capable of managing various administrative and clerical functions in the department and exercising judgement.
  • Proficient organizational and time management skills. Capable of managing conflicting schedules and identifying opportunities and spaces for gatherings. Must be able to track and follow-up on various action items and tasks arising from the Committees and meetings.
  • Strong written and oral communication skills. Adept at drafting and circulating official correspondences and documents with internal and external stakeholders. Written communications must reflect a high degree of professionalism with strong attention to detail.
  • Ability to maintain confidentiality and use discretion in handling sensitive and complex information.
  • Strong interpersonal skills and ability to work collaboratively with staff, community members, Chief & Council, and external partners.
  • Knowledge of the Musqueam Land Code and land governance processes is an asset.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfort with electronic records systems and databases.
  • Cultural competency and familiarity with Musqueam community, values, and traditions are considered an asset.
  • Experience working with records management systems, archives, or information governance practices, preferably in a government, legal, or Indigenous context.

Working Conditions

  • Work is performed in an office environment with occasional evening work required.
