About the role
Project Operations Associate
(6-month contract)
About Us
HR Associates is a specialized human resources consulting firm that supports government, agencies, hospitals, and not for profit organizations across Ontario.
Our team manages complex recruitment projects that require structure, organization, and exceptional client service. We work closely with senior leaders to help them hire critical roles.
We are a small, high performing team that values reliability, professionalism, and people who take ownership of their work.
About the Role
This role sits at the centre of our recruitment projects. You will work closely with the Lead, Recruitment Services to help coordinate multiple recruitment initiatives at once. Your role is to ensure the work runs smoothly, deadlines are met, and both clients and candidates have a professional experience.
Success in this role comes from being highly organized, proactive, and comfortable managing many moving pieces at once. If you are the person others rely on to keep work organized and ensure nothing is missed, this role will likely feel natural to you.
What You Will Do
- Keep multiple recruitment projects organized and on schedule
- Coordinate interviews, candidate communications, and client meetings
- Track project timelines, candidate progress, and key deliverables
- Prepare documents, reports, and tracking tools
- Support reference checks and candidate follow up
- Ensure candidates and clients receive clear and professional communication
- Work closely with the project lead to ensure tasks are completed and nothing falls through the cracks.
Who Will Do Well in This Role
- You are a creative problem solver who can prioritize and respond quickly when issues arise. As a small team, this role may occasionally support colleagues in an all hands-on deck environment.
- You communicate clearly and concisely in a professional manner, adapting your approach when engaging with candidates and clients at different levels
- You take direction on a project and run with it; you are eager to take responsibility and deliver results in a fast-paced, collaborative environment
- You have strong technical skills, including proficiency in Microsoft Office (e.g., Excel, SharePoint, OneDrive), with the ability to quickly learn new systems and software (e.g., SuccessFactors, Workday)
- You are early in your career with a few years of experience in a professional office environment supporting projects, initiatives, or client work. This experience may come from operations, project coordination, consulting, administration, client service, or a similar environment where strong organization and communication were essential.
How to Apply: If you feel that you have the right combination of skills and experience for this opportunity, please submit your resume. We thank all candidates for their interest; however, only those selected for an interview will be contacted.
