Role Description: Executive Exhale™ is seeking a part-time Business Development & Operations Coordinator to help support the continued growth of the business through business development, relationship management, client support, and operational excellence.
This is a remote contract position (Canadian Applicants preferred at this time), with preference given to candidates located in the Ottawa and National Capital Region, who may be available to provide occasional in-person support for leadership events and programs.
The primary purpose of this role is to help Executive Exhale™ identify, pursue, and support paid keynote speaking engagements, workshops, leadership experiences, and organizational partnerships. Working closely with the Founder, the Business Development & Operations Coordinator will research speaking opportunities, conferences, professional associations, and organizations aligned with Executive Exhale™'s mission. The successful candidate will help identify key contacts, maintain business development pipelines, coordinate follow-up activities, prepare opportunity tracking reports, and help ensure that potential opportunities are managed professionally from initial outreach through to proposal and booking.
The Coordinator will also support the planning and delivery of Executive Exhale™ programs and events by coordinating participant communications, managing registrations, maintaining event timelines and checklists, supporting logistics, and helping create exceptional client and participant experiences. In addition, the role will support day-to-day business operations by maintaining accurate records within Go High Level (GHL), coordinating schedules, supporting LinkedIn content planning & scheduling, preparing business documents and reports, and helping improve systems and processes that contribute to the continued growth of the business.
This role is ideal for someone who is highly organized, self-directed, enjoys building relationships, thrives on creating order from complexity, and takes pride in helping a purpose-driven business secure new opportunities while delivering exceptional experiences for clients and partners.

Qualifications: The ideal candidate is proactive, highly organized, and enjoys helping a growing business build relationships, identify opportunities, and deliver exceptional client experiences.
Required Qualifications Candidates should possess: Exceptional organizational and time management skills, with the ability to manage multiple priorities and meet deadlines with minimal supervision. A self-directed approach to work, demonstrating initiative, sound judgment, and the ability to work independently in a dynamic, entrepreneurial environment. Strong project coordination skills, including planning, tracking activities, managing timelines, and ensuring follow-up tasks are completed. Experience researching organizations, conferences, associations, or business opportunities and maintaining accurate tracking systems. Excellent written and verbal communication skills, with the confidence to communicate professionally with clients, conference organizers, association representatives, and organizational partners. Experience supporting client relationships, coordinating projects, events, workshops, or business operations. Strong attention to detail and the ability to maintain accurate records that include using CRM systems and other business tools. A commitment to professionalism, confidentiality, and delivering exceptional client service.
Preferred Qualifications The following qualifications are considered strong assets: Experience supporting business development activities, including identifying opportunities, maintaining sales or opportunity pipelines, and coordinating follow-up activities. Experience using CRM platforms, with Go High Level (GHL) considered a significant asset. Experience supporting consultants, speakers, facilitators, coaches, or other professional service businesses. Experience coordinating conferences, workshops, leadership programs, or professional events. Experience scheduling and coordinating LinkedIn content and using Canva for simple marketing materials. Familiarity with government, healthcare, professional associations, or leadership development sectors. Post-secondary education in business, communications, administration, marketing, event management, or a related discipline, or an equivalent combination of education and practical experience. Above all, we are looking for someone who enjoys building relationships, creating systems, following through on opportunities, and helping Executive Exhale™ secure more speaking engagements, workshops, leadership experiences, and organizational partnerships.
