The City of Port Coquitlam has an exciting opportunity in its Engineering & Public Works Department. Reporting to the Senior Manager, Engineering, the Engineering Administrative Support position provides support to the Engineering team and department committees. They are responsible for providing customer service relief, coordinating document management, preparing and processing mass mail outs, and presenting to committees with direction and guidance from a manager. In addition, they perform a wide variety of clerical duties including: typing various forms of correspondence and reports; scheduling meetings, appointments and public events; and providing clerical support to Engineering committees.
Some of the key responsibilities of this position include but are not limited to:
- Responsible for preparing and coordinating community outreach events for Engineering studies and projects.
- Assists in editing and preparing reports and presentations to Council and other Committees as required.
- Responsible for the preparation, distribution and management of committee agendas and minutes.
- Prepares preliminary documents and processes consultant contracts, cost sharing agreements and legal agreements.
- Transcribes and/or drafts routine correspondence, minutes, and related documents for a manager’s signature.
- Maintains records, files, reports, documents and a variety of working files for the Department.
- Provides direct customer service to a variety of internal and external agencies and customers by telephone and in person.
- Sets appointments and meetings, arranges and provides logistical and support for appointments and meetings along with the coordination of various Department functions and events.
- Processes, codes and reconciles invoices for payment and undertakes specific tasks related to project finances.
- Updates a variety of departmental records and the City’s website.
- Provides information and assistance to the public and other City staff on matters pertaining to the departmental operations.
- Performs related duties as required.
The successful candidate for this position will have:
- Completion of grade 12 supplemented by courses in office procedures, software and equipment, typing and other standard business subjects.
- Successful completion of a course in business or report writing.
- Intermediate proficiency in Microsoft Office Suite of products to include Excel, Word, PowerPoint and Outlook.
- A minimum of three years previous experience in a support role in an engineering setting.
- 65 wpm typing speed
- Ability to compose routine correspondence in a professional manner
- Ability to work as a member of a multidisciplinary team.
- Ability to meet deadlines.
- Ability to establish and maintain effective working relationship with Department staff, employees and members of the general public.
- Ability to deal tactfully with the public and to maintain effective working relationships with other employees.
