About the role
The Administrative Assistant - Physician formally reports to the Clinical Manager while providing day-to-day support to the Division Chief of Orthopaedics and Orthopaedic offices. The Administrative Assistant plays a vital role in maintaining structure, improving workflow, and ensuring optimal functioning across the office. From managing scheduling to facilitating communication and supporting operational needs, you will help create an organized, responsive, and professional environment that supports high-quality orthopaedic care.
DUTIES & RESPONSIBILITIES:
- Providing general administrative and organizational support to the orthopaedic surgeons offices, with priority to the office of the orthopaedic chief
- Organize meetings including booking conference rooms, managing attendance and preparing related materials and documents
- Maintaining an updated inventory of supplies and equipment
- Developing and managing schedules including operating rooms schedules, on call schedules and holidays and vacation
- Administrative tasks related to the onboarding of fellows and residents
- Developing, circulating and updating call and operating room schedules
- Planning annual social events
- Booking travel and hotel arrangements, meeting rooms, and catering as required
- Accurate handling and preparation of OHIP and self-insured billing procedures
- Renewing of divisional memberships and affiliations
- Data entry for Curriculum vitae, dossiers and registry data
- Simple power-point creations for presentations for the division
QUALIFICATIONS:
- Graduate of a recognized Medical Administration or Medical Secretarial program, or equivalent experience
- Successful completion of a Medical Terminology certificate
- Excellent communication and interpersonal skills, with the ability to effectively communicate to patients
- Exceptional organizational skills and attention to detail.
- Proficiency in using electronic medical record (EMR) systems and scheduling software. Proficient computer skills with advanced knowledge of Word, Excel, Adobe, PowerPoint and CabMD
- An understanding of OHIP billing
- Ability to work in a fast-paced environment, prioritize tasks, and manage multiple responsibilities simultaneously
- Understanding of medical billing and insurance processes preferred
- Proven experience in medical office administration, preferably in orthopaedic surgery or other surgical services
- Ability to work independently and as a member of a high functioning team
This is a part-time position working 5 week-days in a 2 week period. This position does not require weekend or holiday hours.
