Buffalo Trail Public Schools Division is seeking a dedicated and compassionate Administrative Assistant to join our team at Provost Public School in Provost, Alberta. This temporary position offers a meaningful opportunity to contribute to a dynamic school environment by providing administrative support that directly impacts the daily success of students and staff.
Position Details:
- Start Date: September 8, 2025
- End Date: December 19, 2026 or the earlier return of the incumbent
- Location: Provost Public School, Provost, Alberta
- Hours: 7 hours per day (8:15 a.m. – 4:00 p.m.), 3 days a week Monday, Tuesday & Thursday
- Contract Type: Temporary
Qualifications and Desired Experience:
- High School Diploma
- Diploma/Certificate in Office Administration or Business Administration (preferred)
- Preferred experience of working in Accounting/Finance
- Experience working with Google Suite and Microsoft Office
In addition to strong communication skills and a commitment to quality public service, the successful candidate responsibilities may include the following:

Some shared responsibilities in a team of 2 administrative assistants

Prepares the school office or school opening and closing
-
Assists in the implementation of school emergencies and first aid procedures
-
Prepares a variety of data and material, including confidential reports, and composes correspondence, memos, and emails
-
Receives and relays telephone messages, makes appointments for administration and school staff and provides a variety of factual information and assistance to students, parents, teachers, and the public
-
Prepares requisitions and purchase order, verifies receipt of goods and submits signed copies to Central Services
-
Data entry of student registrations and maintains the student information system (PowerSchool)
-
Data entry of information in Bellamy/Apply to Education - Easy Connect system as required monthly
-
Attends relevant meetings and training established by Central Services
-
Maintains accurate records of financial and divisional transactions including handling cash, issuing receipts, all banking, etc. for the school according to the jurisdictional procedures, and assists in the budgeting process
-
Processes incoming and outgoing mail
-
Operates a variety of office equipment
-
Operates the school public address system
-
Maintains working relationship with school administration, staff, students, parents, and the community

Assists in the organization of school functions and events
-
Attend staff meetings
-
Maintains accurate records in accordance with jurisdictional records management policy

Performs other assigned comparable duties, which are within the knowledge and skills required by the job
