The Practicum Coordinator plays a pivotal role in supporting the coordination, organization, and execution of student practicums within the College. This position involves a diverse range of administrative tasks, including data tracking, communication with stakeholders, event planning, and providing support to students in their job search and preparation for professional placements.

Major Accountabilities/Responsibilities (Including but not limited to the following):

  • Track and input data related to student practicum programs.
  • Create and maintain spreadsheets for organizing student information.
  • Collaborate with the records department to ensure accurate student tracking.
  • Coordinate and collaborate with various departments to facilitate seamless program operations.
  • Send out communications, ensuring timely and regular updates for each program and cohort.
  • Prepare documents and presentations for student orientations and preparatory sessions.
  • Create schedules for presentations and other practicum-related events.
  • Organize administrative data related to employers and host organizations.
  • Foster communication and maintain relationships with partners, employers, and external stakeholders.
  • Research prospective partnerships and actively build and maintain relationships.
  • Act as a natural networker, supporting and attending events to promote college practicum and job placements.
  • Provide guidance to students on navigating the job market, creating resumes, and preparing for interviews.
  • Mark practicum assignments using Moodle or similar platforms.
  • Update job board postings to ensure students have access to relevant opportunities.
  • Compile information packages for students and stakeholders.
  • Provide general administrative support as needed.
  • Demonstrate a student-centred approach in facilitating students' needs and maintain positive interactions with students
  • Assist in planning and organizing career fairs and other related events.

Education and Experience

  • A business administration certificate or diploma is an asset.
  • High level of proficiency in Excel and Microsoft Office required.
  • Minimum of 2 years' experience in an Administrative Assistant role.
  • Experience as a Practicum Assistant or in a post-secondary environment is an asset.
  • Experience in planning and organizing events, such as orientations, career fairs, and presentations, would be beneficial.
  • Proficiency in utilizing learning management systems such as Moodle is an asset
  • Previous involvement in administrative positions involving data management, record-keeping, and coordination

Skills and Competencies

  • Excellent verbal and written communication skills, with attention to grammar and spelling.
  • Proficient in the English language (verbal and written).
  • Ability to manage multiple priorities and adapt to changing circumstances.
  • High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Teams, SharePoint).
  • Strong organization and planning skills with meticulous attention to detail.
  • Excellent telephone etiquette.
  • Ability to build strong relationships internally and externally.
  • Capacity to work efficiently and maintain integrity under pressure.
  • Strong time management skills.
  • Strong listening skills and an approachable demeanor.
  • Confident in public speaking and presentation skills.
  • Capable of working both independently and collaboratively.
  • Display a professional appearance and demeanor at all times.
  • High level of confidentiality and discretion.
