Position Summary
Reporting to the VP of Clinical Services, Mental Health, the Operations Manager will oversee clinic operations, lead administrative teams, manage systems, and ensure smooth day-to-day functioning. This role focuses on leadership, process improvement, and operational support to help clinicians deliver the best care possible.
Key Responsibilities
- Lead and mentor administrative and intake staff, promoting collaboration and professional growth
- Manage clinic scheduling, onboarding, and compliance with healthcare regulations
- Administer and optimize the Jane.app EMR platform for clinic operations
- Oversee facilities, inventory, and client management systems; support clinic relocation projects
- Liaise with building management to maintain safe and functional clinic spaces
- Create reports and dashboards to support senior leadership decision-making
- Manage clinician payouts and verify monthly statements
- Monitor financial performance and support budgeting and cost management
- Manage relationships with vendors and third-party clients, ensuring clear communication and contract compliance
- Ensure privacy, safety, and regulatory compliance across all operations
- Collaborate with marketing and outreach teams to maintain community presence and client engagement
- Serve as the first point of contact for clinicians on non-clinical matters
Qualifications
- Minimum 3 years of experience in healthcare or clinical operations, with 2+ years managing teams
- Bachelor’s degree in healthcare management, business, or related field
- Advanced Excel and data management skills; experience with Jane.app and Metabase is an asset
- Knowledge of scheduling, billing, and electronic medical/case management systems
- Proficiency with Microsoft Office and cloud-based collaboration tools
- Excellent communication skills and professional, compassionate demeanor
- Strong organizational skills, attention to detail, and ability to prioritize in a fast-paced environment
- Knowledge of privacy regulations such as PHIPA and commitment to confidentiality
- Adaptable, proactive, and able to thrive in a dynamic healthcare setting
